Job description

We are looking for a highly organized Business Office Manager to support daily operations for a Contract position based in Kalamazoo, Michigan. This role will serve as a central point of coordination for front office activities, scheduling, administrative workflows, and team support. The ideal candidate brings strong judgment, attention to detail, and the ability to keep office functions running smoothly while assisting with events, vendor coordination, and internal administrative processes. This role is 100% onsite, M-F, 8:30am-4:30pm.


Responsibilities:

• Welcome guests and ensure they are directed promptly to the appropriate team members while maintaining a detail-focused front office presence.

• Oversee office scheduling by coordinating meetings, tracking time away, maintaining holiday calendars, and arranging client appointments as needed.

• Handle incoming correspondence by sorting, distributing, and forwarding mail and other published materials to the correct recipients.

• Support financial and administrative operations by logging client check deposits, processing vendor invoices, and maintaining expense records for partners.

• Assist with special assignments such as preparing presentations, organizing meeting materials, and providing general administrative help to staff.

• Offer day-to-day operational support to employees, including troubleshooting routine office and basic technology-related issues.

• Maintain office readiness by ordering supplies, monitoring inventory levels, and coordinating maintenance requests for the workspace, kitchen, coffee bar, and conference areas.

• Coordinate internal and external events by managing invitations, vendor communication, venue arrangements, meeting materials, and related administrative tasks.

• Provide administrative support for compliance and human resources activities, including audit preparation, procedure documentation, office policy updates, staff training, and employee engagement efforts.

• Manage seasonal outreach projects, including organizing the preparation and distribution of annual holiday communications.

• Experience in office administration, receptionist support, or office management within a detail-focused business environment.
