Student Affairs Travel Fund
  • Check the SA Travel email daily and respond to inquiries.
  • Communicate professionally with students and student organizations regarding application requirements and travel funding procedures.
  • Review funding applications, verify that students and student orgs are eligible, and prepare a summary of each request for the Budget Coordinator.
  • Use Microsoft Excel to track travel funding requests from start to finish - who applied, what was awarded and spent, and whether required forms and paperwork are turned in.
  • Assist in monitoring deadlines and ensuring required documentation is submitted accurately and on time.

Front Desk and Administrative Support
  • Greet and assist visitors.
  • Answer phone calls and take detailed messages as needed.
  • Check the VPSA email daily and respond to or forward inquiries.
  • Receive and log incoming packages, check items against orders, and notify staff when deliveries arrive.
  • Sort and distribute incoming mail and prepare outgoing mail.
  • Assist the Budget Coordinator with budget-related tasks such as uploading presentations to iPads during the Student Service Fee Budget Cycle.
  • Opening and closing duties such as turning off the lamps, vacuuming, refilling the water in our Keurig, etc.
  • Submit Katalyst (IT) and FAMIS (Facilities) Work Orders.
  • Organize the office and keep the space clean.
  • Help with office event planning and setup and breakdown.
  • Track office supply inventory and assist with ordering.
  • Other duties assigned as needed.

Other Requirements for the Position
  • Hold a valid Texas driver's license.
  • Must maintain a 2.5 GPA.
  • Able to work during the winter and summer breaks.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat applications.
  • Demonstrate strong attention to detail along with excellent communication, organizational, and problem-solving skills.
  • Learn the departments within the Division of Student Affairs and other campus offices so you can confidently answer questions and direct visitors and callers to the right place.
