Position Overview: We are actively seeking an experienced Office assistant with bookkeeping or light accounting experience to join our dynamic team. The successful candidate will play a vital role in supporting our daily operations, ensuring efficiency and accuracy in administrative tasks, and contributing to the financial management of our properties.
Responsibilities:
  • Perform general administrative duties such as answering phones, managing correspondence, and organizing files.
  • Handle mail, including sorting, opening, and distributing incoming mail.
  • Assist in reviewing monthly management reports from third party manager
  • Depending on skill set, post accounting entries. (minimal monthly)
  • Manage certified mail and maintain records of return receipts.
  • Serve as the point of contact for coordinating cleaning services.
  • Perform scanning and copying tasks as required.
  • Manage autopay for bills.
  • Prepare and file annual reports for all business entities.
  • Ensure timely renewal of licenses required for properties.
  • Reconcile company credit card statements.
  • Provide notary services as required. (preferred)

Qualifications:
  • Proven experience as an Administrative Assistant with knowledge of bookkeeping or general accounting principles.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and accounting software (RentManager experience not required but a plus).
  • Strong attention to detail and ability to maintain accurate records.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong communication skills, both written and verbal.
  • Ability to work independently with minimal supervision and as part of a team.
  • Previous experience in the real estate industry is a plus.
