Job Overview

Reporting to the Director of Facilities, the Facilities Operations Manager supports the Central office teams and owns coordinating facilities expense management, energy usage, maintenance needs, paperwork retention and vendor contracts. This role will collaborate with Business partners in Bloomingdale's facilities, Macy facilities, Central and vendors to coordinate meetings, project needs, follow up on and the communication of results. This individual will be responsible for the timely response to facilities, janitorial and maintenance, supplies, security, storage, recycling, vending, conference rooms, pantry and special projects throughout Bloomingdales Central Office.  Oversight of the Messenger Center and the receiving deliveries and shipping of all outbound packages, vendor samples and general mail. 

Essential Functions

  • Staffing
    • Recruit, Hire, coach and develop office services staff, assign and track tasks to completion related to facilities and Messenger Center, including responsibility for equipment, services, copy rooms, pantries, supplies, reception, conference rooms, storage rooms and vending machines.
  • Housekeeping
    • Oversee the cleaning and maintenance of the facility and performance space including garbage and recycling removal, doors and door hardware, carpet and flooring cleaning and tile replacement, specialty cleaning, painting and light bulb replacement.  Source and purchase equipment and supplies as needed. Maintain monthly reporting of inspections.
  • Engineering
    • Oversee HVAC, UPS, Generator, Pre Action, Critical Equipment and Systems' Software Programs such as the Building Management System (BMS) - coordinated with internal vendors and building Engineers, manage the preventive maintenance for all equipment and systems, monitor systems, respond to alerts, adjust temperature and humidity settings, change filters according to schedule, order supplies.
  • Security / Safety
    • Liaison to building security, facilitate keyless access support, coordinate locksmith needs, conduct periodic fire extinguisher inspections and replacements, Ensure contractor and vendor adherence to Bloomingdales contract terms and conditions, key member of Bloomingdales Emergency Response Team, schedule and coordinate with AP personnel annual 1st Aid, CPR and AED staff training, coordinate periodic drills with building management.
  • Project Management
    • Execute workplace initiatives Furniture, Fixtures and Equipment - move, assemble, disassemble furniture and systems furniture as needed. 
  • Energy
    • Monitor energy usage weekly. Communicate with Macy's energy on system changes, part and temperature issues, identify savings opportunities. Process demand response paperwork and deposits.
  • General Ledger
    • Publish a monthly expense recap.
  • Green initiatives
    • Create structured central green initiative, roll out and maintain program, communicate and drive results.

Qualifications and Competencies

  • Bachelor's Degree from a 4-year college or university
  • Practices open and continuous communication, values keeping others informed, effectively presenting information in a clear, concise manner.
  • Excellent leadership, facilitation, and interpersonal skills, with the ability to work across functional lines and at many levels
  • Ability to think creatively, strategically and technically
  • Ability to work a flexible schedule based on department and Company needs
  • Knowledge of MS Office computer programs are required

Essential Physical Requirements

  • Position involves regular walking, standing, sitting, hearing, and talking
  • May occasionally involve stooping, kneeling, or crouching
  • May involve close vision, color vision, depth perception, and focus adjustment
  • Involves use of hands and fingers for typing on keyboard and using a mouse
  • May be a need to move or lift items over 25lbs.
