OFFICE ADMINISTRATOR – OPERATIONS SUPPORT

Company: Hudson Loop
Location: Brooklyn, New York
Pay: $25–$28 per hour

Job Summary

Hudson Loop is seeking a proactive, organized, and dependable Office Administrator. The primary responsibility of this role is to track work assigned to Hudson Loop staff, follow up consistently, and ensure all assignments are completed correctly and on time.

The Office Administrator will support daily operations by scheduling jobs, monitoring attendance, conducting walk-throughs, managing inventory, maintaining company records, and communicating with staff, stakeholders, and vendors.

Key Responsibilities

  • Track work assigned to staff and follow up until it is completed.
  • Maintain a daily list of open, completed, and overdue assignments.
  • Track employee attendance, lateness, absences, and schedule changes.
  • Maintain an accurate inventory of supplies, equipment, and company property.
  • Purchase office and operational supplies with proper authorization.
  • Communicate clearly and professionally with staff, managers, clients, stakeholders, and vendors.
  • Organize and maintain physical and electronic files.
  • Collect and organize timesheets, receipts, invoices, photographs, reports, and work records.
  • Learn and understand the responsibilities of every role within Hudson Loop.
  • Coordinate information between office staff, field teams, managers, and vendors.
  • Identify problems early and take initiative to help resolve them.
  • Perform additional administrative and operational duties as assigned.


Qualifications

  • Previous experience in office administration, scheduling, operations, or a related position.
  • Strong organizational, communication, and follow-up skills.
  • Proficient with computers, email, spreadsheets, shared documents, and scheduling platforms.
  • Ability to manage multiple assignments and deadlines simultaneously.
  • Professional and confident when communicating with employees and outside partners.
  • Detail-oriented, reliable, punctual, and able to work independently.
  • Comfortable holding staff accountable and following up repeatedly when necessary.
  • Willing and able to conduct daily office and job-site walk-throughs.
  • Proactive approach to identifying and solving problems.
