Job description

About Loop
Loop is industrializing services through AI, starting with one of the world's most complex industries: the global supply chain. We're an AI-native company built to solve the systemic data problem that's held logistics back for decades. Our Logistics Data Platform turns fragmented, unstructured data into a trusted foundation that fuels automation, financial clarity, and decision intelligence at scale. Today, Loop serves >20% of the Fortune 100, manages over $30B in supply chain spend, and helps its clients save hundreds of millions of dollars each year.
We recently closed a $95M Series C and are backed by leading investors including Valor Equity Partners, Founders Fund, 8VC, Index Ventures, J.P. Morgan, and more than 50 industry-leading angel investors.
Our team brings deep expertise from Uber, Google, Microsoft, Meta, Amazon, Flexport, C3 AI, VMware, Box, UPS, and C.H. Robinson and we're looking for builders who want to help shape what comes next.
About the Role
Loop is looking for an Office Manager to support our growing global team from our San Francisco office. This role is responsible for creating an exceptional workplace experience by overseeing day-to-day office operations, supporting employees and visitors, and partnering with teams across the organization on strategic initiatives.
As the Office Manager, you'll balance operational excellence with culture-building, helping ensure our offices are welcoming, productive, and reflective of Loop's values. You'll work cross-functionally with leaders across the business while also providing remote operational support for our Chicago and New York offices.
This is an in-person role based in San Francisco, with the expectation of being in the office 4+ days per week.
What You'll Do
  • Own the day-to-day operations of the San Francisco office, including facilities, technology, food and beverage programs, office supplies, furniture, and workspace improvements.
  • Ensure the office is organized, fully operational, and provides an exceptional employee and visitor experience.
  • Serve as the onsite point person for employee equipment needs in partnership with IT.
  • Welcome and coordinate all internal and external visitors, including employees, candidates, clients, vendors, and building personnel.
  • Serve as the primary point of contact for building management, maintenance providers, and office vendors.
  • Partner with the Recruiting team and hiring managers to coordinate onsite interviews, candidate logistics, and interview scheduling.
  • Prepare workstations and equipment for new hires to ensure employees are ready for their first day.
  • Champion Loop's culture by planning and executing employee engagement activities, team meals, celebrations, volunteer opportunities, and office events.
  • Partner with company leadership to coordinate strategic initiatives, including company and team offsites, conferences, executive meetings, and customer visits.
  • Manage office budgets, purchasing, vendor invoices, and workplace-related expenses.
  • Provide remote operational support for the Chicago and New York offices, serving as backup coverage during PTO and other planned absences.

About You
  • 3+ years of experience in office management, workplace operations, hospitality, facilities, or a similar role.
  • Experience working in a fast-paced, high-growth environment with shifting priorities.
  • Exceptional communication and interpersonal skills with a customer-service mindset.
  • Highly organized with outstanding attention to detail and follow-through.
  • A proactive problem solver who takes ownership and anticipates team needs.
  • Comfortable managing multiple projects simultaneously while maintaining a positive attitude.
  • Comfortable working with laptops, monitors, docking stations, conference room technology, and common office equipment.
  • Passionate about creating engaging workplace experiences and fostering company culture.
  • Experience managing vendors, office operations, and workplace logistics.
  • Collaborative and eager to partner across teams to drive impact.
  • Bachelor's degree or equivalent professional experience preferred.

What Makes You Successful
  • You create environments where employees enjoy coming to work.
  • You anticipate needs before they become problems.
  • You balance operational excellence with exceptional hospitality.
  • You thrive in fast-paced environments where no two days are the same.
  • You build strong relationships across departments and consistently deliver outstanding service.
  • You take initiative, continuously improve processes, and enjoy finding ways to make the workplace more efficient and engaging.

Compensation and Benefits
The base pay range for this role is $60,000 to $75,000 annually. This range reflects the base pay that Loop reasonably expects to pay for the position at the time of hire. Actual compensation will depend on job-related factors, including experience, skills, qualifications, location, and business needs.
This role is not eligible for bonus, commission, or equity compensation. This role is eligible for Loop's benefits, including health, dental, and vision insurance, 401(k) match, paid time off, paid holidays, and parental leave.
Equal Opportunity
Loop is an equal opportunity employer. We celebrate diversity and are committed to creating an inclusive environment for all employees. All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, sexual orientation, gender identity, national origin, disability, veteran status, or any other characteristic protected by law.
