Job description

Position Summary:
This employee serves as a strategic and operational partner to the Head of School, advancing the mission, culture, and organizational effectiveness of Logos Academy. This role provides high-level management of the executive operations, internal communications, strategic project management, board engagement, and cross-functional coordination across the school community.
The Executive Assistant ensures alignment between the Head of School’s priorities and institutional execution by managing key initiatives, supporting organizational planning, strengthening communication systems, and fostering operational excellence. This position requires exceptional judgment, discretion, relational intelligence, the ability to manage multiple priorities, and servant-hearted professionalism.

Minimum Qualifications:

  • Strong commitment to the Christian faith as articulated by the Apostles’ and Nicene Creeds, including active participation in a community of believers
  • Alignment with and willingness to live according to the Logos Academy Employee Handbook and community rule of life
  • Demonstrated successful experience in operations, administration, project management, or executive support
  • Exceptional organizational, communication, and interpersonal skills
  • Ability to manage multiple priorities, execute independently, and maintain confidentiality with discretion and professionalism
  • Strong written communication and presentation skills
  • Ability to build trust and collaborate effectively with board members, faculty, staff, families, donors, vendors, and community partners
  • Proficiency with Google Workspace and other standard business and communication platforms
  • Bachelor’s degree preferred; equivalent professional experience considered
Key Responsibilities
Strategic Support & Leadership:
  • Serve as a trusted advisor and operational partner to the Head of School
  • Support the execution of strategic priorities and organizational initiatives
  • Coordinate and monitor cross-functional projects to ensure alignment, accountability, and timely completion
  • Help streamline organizational systems, workflows, and communication practices to improve effectiveness and efficiency
  • Anticipate leadership needs and proactively develop solutions and operational support structures
Organizational Operations & Communication:
  • Oversee executive operations for the Head of School, including strategic calendar management, meeting preparation, and prioritization of initiatives
  • Draft, review, and coordinate internal and external communications on behalf of school leadership
  • Ensure effective information flow between leadership, staff, board members, and key stakeholders
  • Support leadership team meetings through agenda development, documentation, follow-up, and accountability tracking
  • Coordinate institutional documents, records, handbooks, and leadership materials
Board & Governance Support:
  • Partner with the Head of School to support Logos Academy Board operations and communication
  • Prepare board materials, reports, presentations, and meeting documentation
  • Coordinate logistics and communication related to board meetings and governance processes
  • Maintain accurate and confidential board records and institutional documentation
Culture & Staff Engagement:
  • Support initiatives that strengthen organizational culture, staff care, and employee engagement
  • Assist in planning and execution of staff appreciation efforts, retreats, and culture-building initiatives
  • Support leadership communication and feedback systems, including staff surveys and organizational follow-through
  • Promote a commitment to excellence and hospitality in serving students and families 
Leadership & Team Oversight:
  • Supervise and support administrative support personnel, fostering accountability, collaboration, and professional growth
  • Ensure operational support functions align with institutional priorities and leadership expectations
Manage Office Services:
  • Serve as an exemplary receptionist, modeling professionalism, attentiveness and hospitality. 
  • Supervise reception areas of both buildings, ensuring that both desks are well coordinated, communicating effectively and operating consistently according to school policy
  • Develop the schedule for receptionists and other support staff who provide coverage at the desks; serve on the schedule, so that both desks are covered for the hours of operation and 30 minute lunch breaks are provided for each receptionist. (currently the lower school desk is open from 7:15-4:00 and the upper school desk is open from 7:30-3:30) 
  • Maintain decor, orderliness and cleanliness of the desks to promote professionalism, facilitate efficient operations, and uphold the classroom decor guidelines as described in the Faculty Handbook.
  • Support the Emergency Response Plan by coordinating the reception areas in collaboration with the Safety Team 
    • Serve on School Safety Team
    • Support receptionists with proper training to respond to threat/crisis response scenarios per the Emergency Response Plan. 
    • Support proper execution of all school safety drills in accordance with the Emergency Response Plan. 
  • Approve PTO requests on behalf of the principals, ensuring they are aware of all staffing needs, alerting principals of staff attendance levels.
  • Serve as primary contact for substitutes as sub caller and ensure that plans and supplies are prepared and available.  
  • Communicate substitute confirmations for teachers and substitutes.  Coordinate internal coverage as needed for teachers when unexpected absences occur. 
Lead Staff Care Team:
  • Lead the staff care team of Academic and Business Assistants.
  • Provide cards and small gifts for staff on special occasions (birthdays, work anniversaries, births,  achievements, condolences, etc) 
  • Support the planning of Staff Appreciation Week
  • Support elements of hospitality (welcome signage plan for ordering/serving food cleanup etc) at the Staff Days Apart
  • Take a proactive approach in encouraging staff connections and interaction
  • Maintain the decor and aesthetics of the Kiononia Lounge and annual theme of staff wall therein
  • Planning staff recognitions and steadfast awards at end of year staff luncheon.
