Job Summary
Solid Ground is hiring an Operations Manager to provide operational leadership for workplace systems, administrative services, front desk operations, and organizational coordination across Solid Ground's office locations. This role supervises the Office Coordinator and supports staff, leadership, residents, and community partners while ensuring efficient, organized, and effective day-to-day operations.
Responsibilities
  • Supervise the Office Coordinator, including providing coaching, guidance, training, and performance oversight to support effective operations.
  • Lead front desk operations at Solid Ground's main East Metro Place office location while supporting inventory and operational needs across multiple scattered-site locations.
  • Develop, implement, and maintain scalable front desk procedures, workflows, and training resources; serve as the primary escalation point for complex front desk, safety, or visitor situations.
  • Manage the organization's main phone line, general information email inbox, and communication workflows across multiple platforms, including intranet updates, ensuring accurate, timely, and consistent responses.
  • Oversee incoming and outgoing mail, deliveries, supply coordination, and organization-wide inventory systems across all sites.
  • Ensure office environments and meeting spaces remain organized, accessible, and professionally maintained.
  • Lead operational logistics for office closures and community meetings, including communication planning, scheduling, and coordination with staff, vendors, and leadership.
  • Partner with the Director of Operations on safety and security oversight, including implementation of organizational safety policies, operational procedures, and risk mitigation.
  • Support leadership meeting logistics, including setup, agenda distribution, and material preparation for all-staff, leadership, and board meetings as needed.
  • Partner with the Director of Operations to support operational planning, track action items and project milestones, and ensure timely follow-through on organizational priorities.
  • Maintain confidentiality of sensitive organizational, board, resident, and personnel information.
  • Manage office operations across multiple locations, ensuring consistency in administrative systems, supplies, workflows, vendor relationships, and service logistics.
  • Develop and maintain scalable documentation systems to support organizational growth, onboarding and offboarding, structured file management, and compliance tracking.
  • Manage workplace technology logistics and new staff onboarding, including workspace setup, IT equipment provisioning and tracking, and administrative readiness.
  • Own agency-wide data reporting, including building, maintaining, and scheduling Power BI reports and dashboards; serve as the primary point of contact for leadership data reporting needs.
  • Manage internal events, training, and operational projects; partner with the Director of Operations to identify and execute process improvements; organize, lead, and facilitate a Safety Committee.

What You Bring
  • Associate or bachelor's degree in business administration, human services, nonprofit management, or related field preferred; equivalent experience considered.
  • 3+ years of previous experience in office management, administrative operations, or operational coordination roles, preferably in a nonprofit or mission-driven environment.
  • Previous experience and proficiency with Power BI is required, including building and maintaining reports, creating dashboards, and scheduling automated data reporting for organizational use.
  • Prior supervisory or leadership experience is preferred.
  • Previous experience coordinating workplace systems, supplies, or technology across multiple locations is preferred.

  • Strong organizational and project coordination skills.
  • The ability to balance multiple priorities, act with appropriate urgency, follow through independently, and drive results.

  • The ability to maintain composure in high-traffic or emotionally charged environments.
  • A demonstrated comfortability with working in an environment supporting families experiencing housing instability.
  • The ability to create systems and document internal processes that improve efficiency.
  • The ability to work independently without a high level of supervision in a high-energy work environment.
  • A valid driver's license, access to reliable transportation, and the ability to meet Solid Ground's driving record requirements.
