Job description

Payment Poster Opportunity:

The Payment Poster plays a vital role within the Revenue Cycle by ensuring accurate, timely, and compliant posting of payments, adjustments, refunds, and recoupments to patient accounts. This position is responsible for reconciling payments received from insurance payers, patients, and other third-party sources, maintaining financial integrity within the billing system, and supporting downstream billing, collections, and accounts receivable activities. Attention to detail, knowledge of healthcare reimbursement processes, and adherence to payer and regulatory requirements are essential for success in this role.

  • The starting pay range for this role is $21.73 -$23.67 based on education and experience.
  • This job is a full-time, in person position, usually working weekday business hours.

  • As a full-time employee of NCHC, you are eligible for the Wisconsin Retirement System (WRS). The WRS is a hybrid defined benefit plan. It contains elements of both a 401(k) or defined contribution plan and a defined benefit plan. Participating staff contribute 7.2% and NCHC will match this at 100% each pay period!

What You Bring:

Required:

  • High School diploma or equivalent.
  • One or more years of experience in payment posting, revenue cycle, or a closely related field.

Preferred:

  • Associate’s degree in Business, Accounting, Healthcare Administration, or a related field.
  • Experience with Medicare, Medicaid, and commercial insurance payment posting.

What a Payment Poster does at NCHC:

  • Accurately post payments received via EFT, ERA, lockbox, paper checks, credit card transactions, and patient payments into the EHR and billing systems.
  • Review and apply remittance advice, including contractual adjustments, denials, coinsurance, deductibles, and copayments, in accordance with payer contracts and organizational policies.
  • Identify, research, and resolve unapplied, unidentified, or misapplied payments in a timely manner.
  • Post and track payer takebacks, recoupments, and reversals, ensuring proper documentation and reconciliation.
  • Identify overpayments and initiate refund requests to payers or patients in compliance with payer rules and regulatory requirements.
  • Collaborate with billing, collections, and patient finance staff to support claims resolution and accurate accounts receivable follow-up.
  • Investigate and report payment variances, discrepancies, or trends to leadership as appropriate.
  • Maintain detailed, accurate documentation of posting activities for audit, reporting, and compliance purposes.
  • Ensure all posting activity complies with federal and state regulations, including Medicare, Medicaid, and commercial payer requirements.
  • Assist with training and mentoring of new payment posting staff.
  • Participate in process improvement initiatives to enhance efficiency, accuracy, and workflow consistency within the Revenue Cycle.
  • Other duties as assigned.
