Estate Manager and Family Assistant

Location: Cherry Hills Village, CO 80113

Employment Type: Full-time / 30-40 hours per week

Schedule: 12:00pm-6:00pm preferred; days of the week flexible and open to weekends

Compensation: $38-$40 per hour

Start Date: As soon as possible

About Our Family

We are a family of four consisting of two boys, ages 8 and 5, who will both be in school full-time starting mid-August. They are sweet, kind, and energetic, with a natural curiosity and enthusiasm for their activities. Both children are involved in after-school sports, including tennis, golf, and jujitsu. We are also a pet-friendly family with two French Bulldogs.

Mom is a stay-at-home parent who takes immense pride in raising the children and maintaining the household. She loves being present for the boys, but recognizes that managing every aspect of the household isn't sustainable. We are highly driven, detail oriented organized people who thrive on specific systems and routines. Our home is already well organized and structured. We just need someone to help maintain and execute those detailed systems so our family can focus on what matters most.

Our family places a significant emphasis on privacy. We enjoy a quieter lifestyle and prefer to keep our personal matters to ourselves. We maintain clear boundaries between our family life and professional relationships, and we place a high value on discretion. The family is deeply respectful of each other, and everyone we work with. Kindness, mutual respect, and clear expectations are fundamental to our family dynamic.

Over the next year, we will be tearing down our current home and rebuilding from the ground up. This means multiple moves - into a rental, out of a rental, and eventually into our newly constructed home. These transitions will require flexibility, adaptability, and a proactive mindset. Some weeks will be busier than others, and routines will shift as construction progresses. We need someone who is energized by dynamic environments and ready to roll with all of the changes that will come.

As we navigate this exciting yet challenging time, we are looking for someone who can provide the long term support we need to keep our home running smoothly. The ideal candidate will help us maintain organization, ensure the household's daily tasks are taken care of, and assist with the transitions ahead as we move into a rental and eventually into our new home. Above all, we value discretion, kindness, and respect, and we are seeking someone who will blend seamlessly into our family dynamic while upholding these strong values.

Key Responsibilities

Household Organization & Maintenance
  • Maintain existing household organization systems throughout the home - everything has a specific place
  • Perform daily home resets by tidying all rooms between weekly professional housekeeper visits. Housekeeper cleans 2-3 days a week
  • Vacuum high-traffic areas, wipe down counters and stove after cooking, and clean refrigerator interiors as needed
  • Manage seasonal clothing swaps for the family
  • Prepare and coordinate donation drop-offs
  • Assist with full holiday prep, decoration setup and takedown while maintaining organization systems
  • Manage exterior patios, including seasonal cushion storage, cleaning, and setup, along with sweeping and hosing down where debris accumulates
  • Clean and maintain humidifiers, air purifiers, and diffusers throughout the home
Inventory & Errands
  • Restock pantry, fridge, and household supplies
  • Grocery shop for meals
  • Manage running household supply lists
  • Coordinate household orders and subscriptions (Amazon, Costco, Target)
  • Handle mailings, returns, dry cleaning, family errands, and gift shopping as needed
  • Manage daily mail and package flow, unboxing items and finding homes for them
  • Break down boxes and place in recycling
  • Bring in/out trash cans from/to the street
Meal Support
  • Clean and prep all fresh vegetables and fruits
  • Chop/ Meal prep ingredients for family meals so that cooking can be completed quickly in the evenings
  • Batch cook meal components such as grilled chicken and ground beef for use throughout the week
  • Cooking healthy breads/muffins/bars/granolas also appreciated
  • Review refrigerator inventory and propose weekly meal ideas using ingredients on hand
  • Prepare healthy after-school snacks ready for when the boys arrive home
  • Prep school lunches the day before
  • Follow dietary accommodations for family members who are dairy-free or gluten-free
  • Perform kitchen cleanup and maintenance, including wiping counters
  • Maintain a tidy, organized and well stocked kitchen and pantry
Laundry & Linens
  • Wash, fold, organize, and put away family's laundry
  • Iron, steam, and provide special garment care as needed
  • Maintain a tidy, organized and well stocked laundry room and family's closets
Family Support & Childcare Assistance
  • Light supervision and backup childcare
  • Assist with occasional pick-ups and drop-offs as needed
  • Divide and conquer kids' activities when appropriate
  • Purchase kids' snacks and kids-related errands as needed
Pet Care
  • Take dogs out / clean up waste
  • Occasional dog walking / dog sitting may be requested
  • Maintain existing dog training protocols
Deep Cleaning & Special Projects
  • Perform occasional deep cleans of the refrigerator
  • Refresh garage, mudroom, and entry areas as needed
  • Maintain organization throughout the home and implement new systems as needed
  • Assist with event and holiday prep, including picking up flowers, cleaning china plates, polishing silver, assembling party favors, and other hosting tasks as needed
  • Assist with school projects as needed
Packing/Unpacking for Travel
  • Assist with packing and unpacking for family vacations, including unpacking luggage, managing dry cleaning, hanging clothing on hangers, disposing of dry cleaning packaging, and getting everything put back in its place after travel
Indoor Plant Care
  • Bring fresh plants and flowers into the home regularly and maintain them
Vendor & Property Oversight
  • Research and coordinate repairs and quotes as needed
  • Manage seasonal property maintenance, including outdoor cushion cleaning and storage
