About the Job:
PURPOSE STATEMENT:
The Litigation Paralegal provides comprehensive litigation and legal support to the Legal Department for a multi-state behavioral healthcare organization. This position manages the day-to-day administration of litigation matters, including coordinating service of process, maintaining litigation files, tracking case deadlines, reviewing legal pleadings and managing discovery, and serving as the primary liaison between internal stakeholders and outside counsel. The Litigation Paralegal helps ensure timely, accurate, and organized management of legal matters while minimizing organizational risk and supporting compliance with applicable laws and regulations.
Roles and Responsibilities:
ESSENTIAL FUNCTIONS:
Litigation Management
  • Manages the lifecycle of assigned litigation matters from initial notice through resolution.
  • Maintains litigation calendars, monitors court deadlines, and ensures timely completion of required legal actions.
  • Coordinates with outside counsel regarding litigation strategy, case updates, and document requests.
  • Maintains accurate litigation databases, matter files, and legal documentation.
  • Tracks litigation expenses, invoices, settlements, and case status reports.
  • Monitors and reports insurance covered claims and acts as a liaison with malpractice carriers

Pleadings, Discovery & Court Filings
  • Reviews legal pleadings, motions, subpoenas, affidavits, correspondence, and other litigation documents for attorney review.
  • Coordinates the collection, review, organization, and production of documents for discovery requests.
  • Assists with responses to interrogatories, requests for production, and subpoenas.
  • Organizes exhibits, witness files, and trial preparation materials.
  • Coordinates electronic filing and document management with outside counsel and courts, as appropriate.

Service of Process Administration
  • Receives, processes, and coordinates all incoming service of process for the organization.
  • Ensures timely routing of legal notices, complaints, subpoenas, and summonses to appropriate legal counsel and operational leadership.
  • Tracks service deadlines and maintains documentation demonstrating timely responses.
  • Serves as the central point of contact for process servers, registered agents, and outside legal counsel.

Legal Operations & Risk Support
  • Assists with legal hold notices and preservation of evidence.
  • Coordinates records collection with Human Resources, Compliance, Risk Management, Medical Records, and facility leadership.
  • Supports responses to governmental inquiries, regulatory investigations, and administrative proceedings.
  • Maintains confidentiality of privileged and sensitive legal information.
  • Assists with policy reviews and legal research related to healthcare regulations and litigation trends.

Compliance & Administrative Support
  • Maintains legal department procedures, templates, and document retention practices.
  • Prepares litigation reports, claims reports, dashboards, and status summaries for executive leadership.
  • Monitors changes in litigation procedures, court rules, and healthcare legal requirements.
  • Performs legal research using electronic legal research platforms.
  • Supports special projects and other legal department initiatives as assigned.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:
  • Associate degree in Paralegal Studies required; Bachelor's degree preferred.
  • Minimum of five years of litigation paralegal experience, preferably supporting corporate legal departments, professional/general liability claims departments or law firms.
  • Experience managing civil litigation, service of process, pleadings, insurance claims and discovery required. Mult-state litigation preferred.
  • Healthcare, behavioral healthcare, hospital, or highly regulated industry experience strongly preferred.
  • Experience working with outside counsel and multi-jurisdictional litigation preferred.
  • Experience with discovery coordination and case management preferred.
  • Thorough knowledge of civil litigation procedures and legal terminology.
  • Knowledge of court rules, pleadings, discovery practices, and litigation deadlines.
  • Excellent organizational and project management skills with the ability to manage multiple active cases simultaneously.
  • Strong written and verbal communication skills.
  • Demonstrates attention to Detail.
  • Ability to maintain strict confidentiality, exercise sound judgement and professional ethics.

LICENSES/DESIGNATIONS/CERTIFICATIONS:
ABA-approved Paralegal Certificate preferred.
WORK LOCATION:
  • This position is on-site at the Company's headquarters in Franklin, TN and is not a remote position.
  • Ability to travel occasionally to facilities, legal proceedings, or depositions as needed.
