Our client is seeking a highly organized and detail-oriented Litigation Administrator to support attorneys and legal teams in a fast-paced law firm environment. This role is responsible for managing case files, coordinating court filings, supporting discovery and trial preparation, and ensuring all litigation deadlines are met accurately and efficiently.

The ideal candidate will have strong litigation support experience, exceptional organizational skills, and the ability to manage multiple priorities while maintaining a high level of professionalism and confidentiality.

Schedule: Monday-Friday, 8:00 AM-5:00 PM
Pay Rate: $30.00-$33.00 per hour

Essential Job Functions

Case Management

  • Assist attorneys with case management from initial filing through final resolution.
  • Maintain case calendars and monitor critical deadlines.
  • Track court dates, filing deadlines, discovery schedules, and client communications.
  • Organize and maintain electronic and physical case files.
  • Ensure case records are accurate, current, and properly documented.

Court Filings & Legal Documentation

  • Prepare, proofread, revise, and format legal documents, including pleadings, motions, briefs, exhibits, correspondence, and other litigation materials.
  • Manage all aspects of state and federal electronic filings (e-filing), ensuring accuracy and compliance with court requirements and deadlines.
  • Coordinate service of process and filing confirmations.
  • Maintain filing records and court-related documentation.

Discovery Support

  • Assist with the preparation, organization, and management of discovery requests and responses.
  • Gather, review, organize, and produce documents for discovery.
  • Coordinate deposition scheduling and preparation of deposition materials.
  • Maintain discovery databases and document repositories.

Trial Preparation

  • Assist attorneys with trial preparation, including trial notebooks, witness files, exhibits, and presentation materials.
  • Coordinate logistics for hearings, mediations, arbitrations, and trials.
  • Prepare exhibit binders and supporting documentation for court proceedings.
  • Ensure all trial materials are organized and readily accessible.

Legal Research

  • Conduct basic legal research and assist with summarizing relevant case law, statutes, regulations, and court rules.
  • Gather supporting information and documentation for motions and legal arguments.

Administrative Support

  • Manage attorney calendars, appointments, and schedules.
  • Schedule client meetings, depositions, hearings, mediations, and court appearances.
  • Coordinate with clients, attorneys, court personnel, vendors, and opposing counsel.
  • Process incoming and outgoing correspondence.
  • Perform general administrative duties and special projects as assigned.

Qualifications

  • 3+ years of litigation support, legal assistant, litigation administrator, or related legal experience required.
  • Experience with state and federal court filing systems.
  • Strong understanding of litigation procedures and legal terminology.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat, document management systems, and legal software platforms.
  • Excellent organizational skills with strong attention to detail.
  • Ability to prioritize competing deadlines in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently while supporting multiple attorneys and cases.
  • Demonstrated professionalism and discretion when handling confidential information.

Preferred Qualifications

  • Experience supporting litigation attorneys in a law firm environment.
  • Familiarity with e-discovery processes and document management systems.
  • Trial preparation experience.
  • Associate's degree, Paralegal Certificate, or equivalent combination of education and experience preferred.

Compensation

The compensation range for this role is $30.00 to $33.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience, and qualifications.
