Job description

Essential Responsibilities
1. Literature & Promotional Item Coordination
Own the end-to-end sales literature and promotional item fulfillment process, managing both orders and requests and documenting the complete request-to-delivery workflow for continuity. Maintain and operate a tracking system capturing all literature requests, monitoring inventory levels, and reordering literature as needed.
2. Marketing Literature Coordination
Maintain catalogs, spec sheets, install instructions, and other marketing materials, ensuring all content is current, accurate, and reflects the latest product and company information.
3. Digital Asset Management
Maintain digital assets in Bynder, applying appropriate ALT tags, titles, descriptions, and keyword tags according to documented standards. Update online assets as needed and identify and flag outdated or missing assets for review by the Sales Operations & Marketing Manager.
4. On-Site Event Coordination
Coordinate on-site employee events as requested, including sourcing and ordering needed items, decorating, event photography, and other related tasks. Manage decorating and setup for special on-site events and proactively communicate event status and any issues to the Sales Operations & Marketing Manager.
5. Digital Marketing Coordination
Coordinate digital marketing efforts, including scheduling social media posts and creating and distributing Marketo newsletters, in alignment with overall marketing strategy and brand standards.
6. Plant Photography & Videography
Capture photos and video of plant operations, products, events, and facilities for use in marketing materials, social media, and other company communications.
7. Content Accessibility
Ensure all marketing content, including digital assets, literature, and online materials, meets accessibility requirements.
8. Tradeshow Coordination
Serve as coordinator for tradeshow logistics, including participating in Xylem tradeshow team calls, coordinating shipping of booth materials and product samples, and tracking deadlines to ensure all tradeshow requirements are met on schedule.
Required Qualifications:
• Bachelor's degree in Marketing, Communications, Business, Graphic Design, Public Relations, or related field.
• Proficiency in Microsoft Office Suite (Teams, Excel, Word, Outlook, PowerPoint); Adobe Creative Suite (Photoshop, InDesign), and Canva
• Basic understanding of SEO or metadata tagging
• Familiarity with social media platforms and email marketing tools such as Marketo
• Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain a high level of attention to detail and accuracy.
• Effective written and verbal communication skills.
• Ability to travel occasionally as needed.
Preferred Qualifications:
• 1-3 years of experience in marketing coordination, events coordination, or operations.
• Experience with digital asset management systems (e.g., Bynder).
• Experience with social media management and email marketing platforms (e.g., Marketo).
• Photography and videography skills, including editing.
• Understanding of print production and vendor management.
• Knowledge of digital accessibility standards (e.g., WCAG).
• Experience coordinating tradeshows, events, or shipping logistics.
Working Conditions
• Full-time, in-office position.
• Office environment with occasional visits to plant floor and warehouse areas.
• Lifting boxes materials up to 30 lbs.
• Standard business hours.
