Job Summary

We are looking for a highly organized and proactive professional to provide advanced administrative and operational support. This role ensures the effective coordination of activities, supports cross-functional collaboration, and contributes to a structured and efficient work environment.

Key Tasks & Responsibilities (Essential Functions)
  • Operations & Office Support: Manage calendars, travel, expenses, and meeting follow-ups. Oversee POs, invoices, vendor coordination, and office logistics. Prepare reports/presentations and assist with new hire onboarding.

  • Project Management: Support cross-functional projects by tracking deliverables and identifying process improvements.

  • Collaboration & Culture: Act as a key liaison for internal/external stakeholders. Partner with Facilities on space management, safety, and sustainability initiatives.

  • Standards: Optimize office workflows using modern tools and strictly adhere to confidentiality and data protection standards.

Desired Profile
  • Experience: 5-10 years in administrative roles.

  • Languages: Full professional proficiency in English and French.

  • Technical Skills: Advanced proficiency in Microsoft 365.

  • Competencies: Exceptional organization, multitasking, and attention to detail. Strong verbal/written communication and customer service skills.

  • Professionalism: High level of discretion, reliability, and the ability to thrive in a fast-paced environment.

Assets
  • Experience in event/training coordination or client/partner relations.
