Description

ROLE OVERVIEW: 

The Guest Relations & Audience Coordinator plays a pivotal role in ensuring a positive and engaging experience for both the show's guests and its audience. This role involves facilitating the guest booking process, as well as overseeing the logistics, coordination, and overall satisfaction of the audience attending live tapings or events.  

KEY RESPONSIBILITIES: 

A. Guest Booking and Coordination: 

  • Assist in identifying, researching, and contacting potential guests suitable for the show's themes and objectives.  
  • Communicate with guests, including scheduling, logistics, and accommodations.  
  • Collaborate with the guest booking team to ensure seamless arrangements and adherence to show requirements.  
  • Assist with guest transportation. 
  • Assist with booking makeup artists for tapings. 
  • Provide support in any area needed in the Guest Relations department.  

B. Administrative Support: 

  • Data entry and file management.  
  • Assist with reading as needed.  

C. Relationship Management: 

  • Cultivate and maintain positive relationships with guests, audience members, and stakeholders.  
  • Liaise with talent agents, publicists, and other industry contacts to enhance guest participation and audience engagement.  

D. Audience Experience Management: 

  • Coordinate all aspects of the live audience experience, including seating, check-in, and guidance throughout the event.  
  • Ensure a welcoming and organized environment for audience members attending the show.  
  • Collect and analyze audience feedback to continually improve their experience.  

E. Audience Engagement Support: 

  • Assist in audience engagement strategies, including social media interactions, promotions, and contests to boost audience involvement.  

F. Event Execution: 

  • Provide support with events or special segments involving both guests and the live audience.  
  • Coordinate with various departments to ensure smooth execution of events, adhering to timelines and requirements.  
Qualifications

QUALIFICATIONS AND SKILLS:  

  • Bachelor's degree in Communications, Hospitality, Event Management, or related field (preferred).  
  • Previous experience in audience coordination, event planning, or guest relations within the entertainment industry (preferred).  
  • Strong organizational skills with the ability to multitask and manage logistics for both guests and audiences.  
  • Excellent interpersonal and communication skills to interact with diverse audiences and high-profile guests.  
  • Proficiency in managing databases, scheduling software, and social media platforms.  
  • Creative problem-solving abilities and a proactive approach to enhancing audience and guest experiences.
