Licensing Coordinator

The Licensing Coordinator supports the Licensing department by managing administrative and compliance-related tasks that ensure all required licenses are obtained, maintained, and accurately documented. Success in this role is demonstrated by timely completion of licensing tasks, accurate recordkeeping, and effective communication with teammates, partner jewelers when applicable, government agencies, and legal counsel. This position plays a critical role in maintaining regulatory compliance across markets and supporting the company's sales and event operations. The Licensing Coordinator works closely with the Licensing Manager and Director of Sales and Legal to keep licensing operations organized and consistent.

Responsibilities and Duties

  • Completes licensing-related tasks and assignments as directed by the Licensing Manager and Director of Sales/Legal.
  • Maintains accurate and up-to-date licensing files for all NR employees, including fingerprints, driver's licenses, background checks, and supporting documentation.
  • Coordinates fingerprinting appointments and background check processes for new hires and existing employees as required by jurisdiction in and out of office.
  • Communicates directly with government agencies, law enforcement departments, and NR's law firm regarding licensing requirements, applications, renewals, and follow-up inquiries.
  • Prepares, submits, and tracks license applications, renewals, amendments, and supporting documentation within required timelines.
  • Serves as a point of contact for partner jewelers to collect, verify, and organize information necessary to support licensing and compliance efforts.
  • Monitors licensing deadlines and proactively notifies leadership of upcoming expirations, renewals, or compliance risks.
  • Utilizes NetSuite, FirmEx (Lewis Rice sanctioned program), and reporting tools to document licensing status and progress.
  • Supports continuous improvement of licensing processes by identifying inefficiencies and recommending solutions.
  • Provides general administrative and clerical support to the Licensing/Revenue team as needed.

Requirements

  • Bachelor's degree preferred.
  • Prior administrative or compliance-related experience is a plus.
  • Strong data entry skills; proficiency in Google Suite and Microsoft including spreadsheets.
  • Ability to manage multiple tasks and deadlines simultaneously in a fast-paced environment.
  • Highly organized, prompt, reliable, and detail-oriented, with strong written and verbal communication skills
  • Valid driver's license and reliable transportation.
  • Ability to sit for extended periods, work at a computer, and handle standard office equipment.
