Job description

Business Licensing Coordinator

The Business Licensing Coordinator supports store operations and company growth by ensuring all business licenses, permits, and regulatory filings are completed accurately and on time. This role manages permit applications, renewals, documentation, and communication with city, county, and state agencies. The coordinator plays a key role in keeping stores compliant and supporting new store openings by maintaining organized records, tracking deadlines, and coordinating with internal teams and external partners.

· The role requires a strong understanding of permit requirements, excellent communication and interpersonal skills, and the ability to work under pressure.

· Collect documents for renewals.

· Obtain sales information from accounting to use in renewals.

· Pay online or by sending documentation to accounting. Keep record of all paid invoices and the payment receipts. Scan the documents and save them to a shared drive. If renewals are paid via ACH information must be sent to accounting for approval.

· Collect renewed licenses/permits.

· Scan and save them in their appropriate folder and send a copy via email to its corresponding store.

· On some occasions communication with city and/or government departments will be needed.

· Responsible for working with our alcoholic beverage consultants to obtain liquor licenses for new stores.

· Responsible for working with Northgate's team and assist them in the filing of new applications.

· Additional responsibilities as assigned by your supervisor.

• Two-year degree or equivalent experience in administrative support, retail operations, compliance, or licensing coordination.

• Bilingual English / Spanish

• Ability to read, write, analyze, interpret and understand the English and Spanish language completely.

• Valid Driver's License – Reliable Transportation

• Possess excellent communication skills, including verbal and written plus the ability to speak effectively before groups.

• Must be able to interface effectively with a wide variety of personnel.

• High level of integrity and professionalism

• Ability to compare, analyze and interpret facts and figures promptly

• Must have aptitude for math.

• Detail oriented and Organized

• Must possess solid knowledge of internal controls.

• Must be able to work independently and at times as part of a team.

• Ability to resolve customer call center cases in a timely manner per the compliance standards of the Customer Call Center.

• Possess leadership skills and the ability to motivate others to achieve desired results by providing direct dialog and personnel evaluations.

• Possess good organizational skills and attention to detail. Ability to work and coordinate multiple projects throughout the business day.

• Requires analytical ability and mental alertness to ensure accurate and thorough completion of work activities as well as for data interpretation and analysis.

• Possess ability to concentrate and deal with frequent interruptions with ability to prioritize necessary tasks

• Possess excellent personal computer skills (Microsoft Programs: Email, Word, Excel, PowerPoint, & Internet).
