Job description

1. Must work in a confidential manner to ensure confidentiality of employee and project files.

Performs administrative duties and may assist in composing routine correspondence and coordinating activities.
3. Assists in filing, copying, scanning and faxing documents.

May answer telephone calls, take messages and transfer calls.
5. Checks quality of own work.
6. May assist in coordinating meeting arrangements and catering services for department functions


7. May order project or department supplies and maintain supply cabinet.
8. Assists in distribution of incoming and outgoing documents.

Keeps abreast of project and department systems, services relevant to area of responsibility, and project process improvements, procedures, and practices.
10. Processes a variety of procedural steps in accordance with well-defined procedures and guidelines.
11. May assist in data entry using project databases within assigned department.

Key Responsibilities
Develop clear and engaging ESH materials, including posters, digital screen content, toolbox talks, Daily Information Sheet messages, campaign materials, and field handouts.
Use Canva and PowerPoint to create visually effective materials that are easy to understand and ready for field use.
Translate technical or procedural information into plain-language, practical messaging for craft and field teams.
Support bilingual communication in English and Spanish to improve workforce understanding and engagement.
Maintain and update ESH data systems, including incident reporting, observations, survey results, and workforce engagement metrics.
Review data for accuracy, completeness, and consistency before publication or submission.
Organize information so reports and records are timely, audit-ready, and easy to retrieve.
Prepare, coordinate, and distribute Daily Information Sheets, toolbox talks, lessons learned, safety alerts, and other ESH communications.
Maintain organized document control, digital filing, SharePoint content, and communication libraries.
Support onboarding activities, visitor orientations, meeting coordination, event logistics, and recognition programs.
Assist with ESH campaign tracking, survey administration, workforce engagement activities, and follow-up actions.
Coordinate system access requests, meeting materials, rosters, sign-in sheets, and general ESH administrative needs.
Work effectively with ESH leadership, field teams, craft professionals, and project support groups in an active construction environment.
Technical Skills (Required)
Canva: material design, layout, formatting, and visual communication.
PowerPoint: slide creation, formatting, visual storytelling, and presentation support.
Microsoft 365: Excel data entry, tracking, basic formulas, Word document formatting, Outlook communication, and Teams collaboration.
SharePoint or similar content management experience, including organizing files, maintaining document libraries, and managing shared content.
