Lead Patient Coordinator

In this role, you'll oversee front office activities, ensuring smooth operations and exceptional patient experiences.

Key Responsibilities:

  • Collaborate closely with Clinical, Hygiene, Billing, and other Department Leads to ensure a seamless patient experience and efficient practice operations.

  • Partner with the Leadership Team to implement practice initiatives, improve workflows, and support organizational goals.

  • Monitor and maintain accountability for assigned front office key performance indicators (KPIs), including scheduling efficiency, appointment confirmation rates, patient retention, treatment acceptance support, collections, and other practice metrics.

  • Coach, mentor, and develop Patient Coordinators through regular feedback, training, and performance conversations.

  • Identify opportunities to improve front office processes and recommend solutions that enhance the patient experience and operational efficiency.

  • Guide and support Patient Coordinator Teams to achieve collective goals

  • Schedule and confirm patient appointments, surgeries, or consultations

  • Operate office equipment and utilize software applications for report preparation and medical record management

  • Maintain medical records, technical library, and correspondence files

  • Greet visitors and direct them to appropriate staff

  • Monitor and delegate tasks for efficient front office operations

  • Ensure payment reconciliation and oversee daily mail handling

  • Conduct backup/daily end-of-day banking deposits as needed

Qualifications:

  • Minimum of 2 years of experience as a Patient Coordinator or dental front office team member is required.

  • High school diploma or equivalent

  • Strong communication, organizational, and computer skills

  • Ability to adapt to fast-paced environments and prioritize tasks effectively

Leadership Expectations:

  • Lead by example and foster a positive, patient-focused culture.

  • Promote collaboration and accountability across departments.

  • Support change management and continuous improvement initiatives.
