We are seeking a highly organized and proactive Administrative Assistant to work with a client located in Metairie. This role is essential in supporting daily office operations, ensuring efficient communication, and maintaining accurate records. The ideal candidate will possess strong office skills, excellent communication abilities, and a keen eye for detail. This position offers an opportunity to contribute to a dynamic work environment while gaining valuable administrative experience.

$50,000-$60,000 plus a full array of benefits.

Responsibilities include but are not limited to:

· Project and Documentation Support

o Collaborate with project teams to meet deadlines and deliverables.

o Prepare, distribute, and maintain project-related documents.

o Ensure subcontractor compliance with minimum requirements for execution.

o Prepare, organize, and distribute subcontract documents, purchase orders, and proposals.

o Prepare certified payroll on applicable projects.

· Administrative Operations

o Assist with miscellaneous copying, scanning, organizing, and filing tasks.

o Provide reception coverage, including dispatching incoming calls, assisting callers with inquiries, and distributing mail and deliveries.

o Coordinate conference rooms, calls, couriers, hotels, travel arrangements, seminars, and conferences.

o Assist with company luncheons, meeting setup, and trainings as requested.

o Work collaboratively as part of a team to achieve administrative results.

o Understand administrative procedures and support in their development and execution.

· Culture and Employee Experience

o Understand and uphold company culture by implementing and reinforcing project, company, and client policies, procedures, ethics, and standards.

o Assist in executing the employee experience strategy by planning and communicating details for corporate events, including happy hours, monthly birthdays, in-house meetings, community events, company-sponsored activities, and training seminars.

o Coordinate event details such as invitations, headcounts, rentals, catering, and logistics.

· Operational Support

o Assist with workflow coding.

o Collaborate and manage per diem paperwork with Project Managers.

Required:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy

Strong organizational skills with the ability to prioritize multiple tasks effectively

Excellent phone etiquette and communication skills in both English and bilingual capabilities (if applicable)

Demonstrated clerical experience with data entry, filing, and proofreading

Knowledge of office management procedures and customer service best practices

Ability to handle confidential information responsibly and professionally

Strong time management skills to meet deadlines efficiently

Previous office or administrative experience preferred, including personal assistant roles

Familiarity with multi-line phone systems, calendar management, and office support functions
