Job Summary
DSI Security Services is currently seeking a Bid & Proposal Administrative Assistant to join our Corporate Office team. This role plays an important part in supporting business growth efforts by coordinating and assisting with proposal development, bid submissions, client solicitation responses, and general administrative support activities.
The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. This individual will work closely with Sales, Operations, Pricing, and other departments to ensure proposal materials are accurate, professional, and submitted within required timelines while also providing day-to-day administrative support as needed.
Essential Job Responsibilities
  • Serve as a support contact for Request for Proposal (RFP), Request for Information (RFI), Request for Quote (RFQ), and rebid opportunities
  • Coordinate with Sales, Operations, Pricing, and internal stakeholders to gather information and supporting documentation
  • Assist with writing, editing, proofreading, formatting, and compiling proposal responses utilizing company templates and content libraries
  • Maintain proposal schedules and monitor deadlines to ensure timely completion and submission of materials
  • Manage proposal files, content libraries, vendor registrations, pre-qualification documents, and related records
  • Assist with development of presentations, proposal graphics, and supporting materials
  • Provide updates on active proposal activity and support post-submission requests as needed
  • Identify opportunities to improve organization and efficiency within proposal processes
  • Provide general administrative support including maintaining records, preparing documents, organizing files, and assisting with departmental projects and daily operations
  • Perform additional administrative duties and special projects as assigned

Position Requirements
  • Must be at least 18 years of age
  • High school diploma or equivalent required; Associate or Bachelor's degree in Business Administration, Marketing, Communications, or related field preferred
  • Minimum of two (2) years of administrative, project coordination, proposal support, or related experience preferred
  • Strong proficiency in Microsoft Office including Word, Excel, Outlook, and PowerPoint
  • Experience with Adobe Acrobat or Adobe Suite preferred
  • Experience with procurement portals, bid platforms, or proposal software preferred
  • Strong written communication, editing, and proofreading skills
  • Excellent organizational and time management skills with strong attention to detail
  • Ability to manage multiple projects and competing deadlines
  • Ability to work independently while collaborating effectively across departments
  • Strong problem-solving and follow-up skills
  • Customer-service oriented attitude
  • Must meet all pre-employment requirements
