Job Title: I/DDM Part-Time Administrative / Caregiver Assistant
Department: Developmental Disabilities Ministry
Reports To: Qualified Professional (QP)

SUMMARY
The Administrative / Caregiver Assistant must demonstrate the Agency's purpose, philosophy, policies and procedures. The Administrative / Caregiver Assistant works as a team member and oversees the day to day activities and needs of the residents in care. These activities relate to supervising and maintaining individual and group relationships at the assigned areas.
QUALIFICATIONS:
β€’ Meets the general qualifications for employment as outlined in the Agency's personnel policies.
β€’ Must be at least 21 years of age
β€’ Has at least high school diploma, or equivalent, with advanced education preferred.
β€’ No prior experience is required, but preferred.
β€’ Meets qualifications of paraprofessional as outlined by Divisions of Facility Services and Mental Health, State of North Carolina.
β€’ Education, experience, skills, and abilities compatible with the responsibilities outlined in this job description.
β€’ Must possess a valid driver's license and safe driving record.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Daily Responsibilities:

β€’ Tracks and schedules maintenance for vans.
β€’ Maintains photo albums and scrapbooks for homes.
β€’ Tracks and completes requisitions for needed office supplies.
β€’ Assists Administrator with closing out resident cash and checking at end of month.
β€’ Assists Administrator with copying Special Assistance checks, filing in resident charts, sending copies to DDM Administration, and originals to Business Office.
β€’ Tracks and assists in completing resident Therapeutic Leave forms.
β€’ Completes forms for Special Olympics, Happiness Retreat and other events.
β€’ Copies forms and maintains forms files.
β€’ Tracks emergency supplies and assists in replenishing when needed.
β€’ Completes inventory paperwork of food supplies from food locker and sends to appropriate person.
β€’ Assists Administrator with admissions paperwork.
β€’ Assists Administrator with quarterly audits of personal funds.
β€’ Assists Administrator with completing gift forms and thank you notes.
β€’ Assists Administrator with gathering and sending resident's monthly wages to Social Security.
β€’ Assists Administrator with paperwork for Performance Quality Improvement (PQI) report.
β€’ Assists Administrator in making contacts for maintenance issues.
β€’ Assists Administrator with tallying prompt levels for monthly progress notes.
β€’ Ensures SDS sheets are current and in houses.
β€’ Schedules fire extinguishers for annual check and assists Caregivers with monthly checks of fire extinguishers and emergency lights.
β€’ Follows all sanitation, safety, and building code requirements.
β€’ Cooperates with licensing and monitoring agencies.
β€’ Performs other duties as assigned by supervisor.

Supervision:
β€’ Works under the direct supervision of the Group Home Administrator/QP.
β€’ Participates in new staff orientation which is scheduled and conducted by the Administrator, as well as monthly and annual trainings as directed.
β€’ Maintains an open line of communication with supervisor. Requests conferences, as needed, to be able to perform tasks effectively.
β€’ Participates in staff training opportunities provided by BCH and any other agencies as requested by the Administrator, and/or required by State of North Carolina.
β€’ Participates in treatment team meetings and planning meetings as directed.
EQUIPMENT:
Ability to work with Microsoft applications. Able to operate standard kitchen equipment. Must be able to drive a 12-passenger van and get in and out of the van unassisted.
LANGUAGE SKILLS:
Ability to read, write and complete necessary documentation. Ability to effectively present information and respond to questions from supervisors, parents, therapeutic programs, counselors and team members and others with the scope of I/DDM.
CONTACT WITH OTHERS:
Regular contact with colleagues in all departments, as well as with outside individuals and groups; should represent Baptist Children's Homes of NC, Inc. in a positive manner. Contacts outside of the agency where proper handling of situations is of utmost importance as the agency's image could be affected.
MENTAL / VISUAL / AUDITORY DEMAND:
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form and ability to draw conclusions.

Complies with agency policies and procedures concerning confidentiality and HIPPA regulations involving all aspects of client information, which include day to day care of the children, case records, family information, medical information, psychological services, etc which if disclosed, would have adverse internal and/or external effect, and could result in termination of employment.

The physical demands described here are representative of those that must be met by a I/DDM worker to successfully perform the essential functions of this job.
