Department: Outpatient Services


Job Summary

We are seeking a detail-oriented and mission-driven professional to serve as Outpatient Program Manager at Families & Youth Innovations Plus (FYI+). This is an administrative management position responsible for the operational oversight of the Outpatient Services Program. The Outpatient Program Manager ensures the program runs efficiently, in compliance with agency policies and regulatory requirements, and in alignment with FYI+'s mission to deliver accessible, high-quality behavioral health services to the communities we serve.



This role provides the operational infrastructure that enables clinical staff to focus on participant care managing scheduling, compliance tracking, staffing logistics, data reporting, contract management and cross-departmental coordination.


What You'll Do:

  • Program Operations Manage daily administrative functions, scheduling logistics, space use, group programming coordination, waitlist processes, and internal communication. Serve as the primary administrative contact for the program.
  • Staff Administration Provide nonclinical oversight for outpatient therapists, including schedule and leave approvals, performance evaluation coordination, caseassignment tracking, and regular administrative checkins.
  • Compliance & Quality Assurance Monitor documentation compliance, ensure adherence to CCBHC, state, and Medicaid standards, track key metrics, support audits, and maintain regulatory knowledge.
  • Contract & Budget Support Assist with budget monitoring, expenditure tracking, grant/contract reporting, invoicing coordination, and deliverable tracking.
  • Community & Agency Engagement Act as liaison across departments, support external partner coordination, represent the program in agency initiatives, and participate in qualityimprovement efforts.


What You Need:

Education

  • Bachelor's degree required in Business Administration, Healthcare Administration, Public Health, Human Services, or a related field.
  • Master's degree in a related field preferred but not required.

Experience

  • Minimum of 2 years of experience in program management, operations management, or administrative leadership, preferably in a behavioral health or healthcare setting.
  • Experience working within a Certified Community Behavioral Health Clinic (CCBHC) or similar community-based organization strongly preferred.
  • Demonstrated experience with compliance tracking, data reporting, and program documentation management.
  • Experience with Electronic Health Record (EHR) systems; familiarity with Streamline SmartCare is a plus.
  • Minimum of 1 year in a supervisory or team lead role preferred.

Knowledge & Skills

  • Working knowledge of behavioral health program operations, Medicaid regulations, CCBHC standards, and state licensing requirements.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Strong organizational, time management, and prioritization skills with ability to manage multiple concurrent priorities.
  • Strong written and verbal communication skills across diverse internal and external audiences.
  • Working knowledge of HIPAA Privacy Rule and health information confidentiality requirements.
  • Commitment to trauma-informed organizational practices and culturally responsive practices
