Legal Secretary (Contract)

Location: Cedar Rapids, IA

Employment Type: Contract


A well-established legal office in Cedar Rapids is seeking a detail-oriented Legal Secretary to support attorneys in a fast-paced practice. This role is ideal for an administrative professional who enjoys organization, client interaction, and managing multiple priorities. Previous legal experience is preferred, particularly exposure to criminal law, personal injury, workers' compensation, or estate planning, but candidates with strong administrative backgrounds will also be considered.

Key Responsibilities

  • Serve as the first point of contact by greeting clients and answering incoming phone calls.
  • Schedule client appointments and maintain attorney calendars, including tracking important deadlines and court dates.
  • Process and manage electronic court filings through Iowa's e-filing system.
  • Organize, maintain, and update both electronic and paper case files.
  • Receive, sort, scan, and distribute incoming mail and legal documents.
  • Print, save, and route court filings and case correspondence to appropriate attorneys.
  • Assist with document preparation, formatting, copying, scanning, and PDF management.
  • Process client payments, including cash, check, and credit card transactions.
  • Coordinate bill and invoice handling by routing documentation to the bookkeeping team.
  • Prepare and print checks for attorney review and distribution.
  • Order office supplies and assist with general office administration.
  • Provide light dictation and administrative support as needed.


Qualifications

  • Previous experience as a Legal Secretary, Administrative Assistant, Executive Assistant, or related office support role preferred.
  • Exposure to legal environments such as criminal law, personal injury, workers' compensation, or estate planning is highly desirable.
  • Strong organizational skills with the ability to manage deadlines and maintain accurate records.
  • Professional communication skills and a customer-service-oriented approach.
