About the Opportunity:

We are seekingan Administrative Assistantto manage a variety of important administrative, recruitment, travel, reception, accounting, and docketing tasks. This position reports to the Administrative Manager and works closely with the administration team.
Key Responsibilities
Recruitment Coordination
Lead all aspects of departmental recruitment: Work with hiring manager and the assigned talent acquisition business partner to open recruitments, draft requisition plans, coordinate screening, interviews, and onboarding.
Travel Administration
Oversee end-to-end travellogistics: book flights and hotels, register for conferences, manage reimbursements, per diem, andsubmitWorkday spend authorizations and expense reports.
Accounts Receivable
Prepare and send monthly discovery statements
Process payments received, primarily for public records, discoveryrequestsand related services.
Prepare andsubmitweekly deposits promptly and accurately.
Docket Management
Assist in reconciliation of daily court dockets, with internal calendaring systems.
Reception Support (Backup)
Provide welcoming, professional front-desk coverage when the primary receptionists are unavailable: handle phones, greet visitors, route inquiries, andmaintainoffice security protocols.

Knowledge of:

  • Principles and practices of administrative support services administration in the public sector including methods and techniques used in financial administration, personnel administration,purchasing, project management, and contracting.

  • Procedures and techniques of budget preparation and accounting and the ability to implement andmaintainstandard filing and accounting systems.

  • Principles and practices of sound business communication; correct English usage, spelling, punctuation, grammar, and composition.

Skills to:

  • Organize andmaintainoffice/administrative systems and procedures.

  • Understand, interpret, and apply County and department policies, procedures, and technical materials.

  • Compose correspondence requiring a high degree of initiative and judgment.

  • Define administrative problems and recommend and implement solutions.

Ability to:

  • Follow complex oral and written instructions.

  • Manage multiple and rapidly changing priorities.

  • Work independently and prioritize time and work assignments effectively.

  • Implement andmaintainstandard filing systems.

Minimum Qualifications

Education and Experience:

  • Graduation from high school or possession of a G.E.D. equivalent; ANDfive (5) or more years of progressively responsible administrative experience related to office management or a major administrative function for a department or division.

  • Possession of anAssociatedegree or Professional Certification in business administration, public administration, or related field may substitute for two (2) years of required work experience.
