Legal Support Assistant

Location: Mason, Ohio Office (Full-Time, In-Office)
Schedule: Monday-Friday | Regular Business Hours
Employment Type: Full-Time, W-2

Join a Firm Where Your Work Makes a Difference

Stotler Hayes Group, LLC is seeking a highly organized, detail-oriented Legal Support Assistant to provide administrative and operational support to our attorneys and paralegals. This role is essential to helping move client matters efficiently toward resolution through document preparation, case organization, records management, and administrative support.

Whether you have prior legal experience or a strong administrative background and are eager to learn, we provide comprehensive onboarding and training to help you succeed.

About Us

Stotler Hayes Group, LLC is a nationally recognized healthcare law firm serving long-term care providers across the country. Our team of approximately 50 attorneys, paralegals, and operations professionals is dedicated to helping clients navigate complex legal matters involving Medicaid eligibility and reimbursement, administrative appeals, probate, estate administration, civil litigation, collections, and guardianships.

Our attorneys work remotely from home offices and coworking spaces throughout the United States while our Legal Support and Operations teams collaborate from our Mason, Ohio office to provide seamless support. We pride ourselves on being mission-driven, collaborative, people-centered, and committed to delivering exceptional service to both our clients and one another.

What You'll Do

As a Legal Support Assistant, you will:

  • Prepare, proofread, format, and organize legal documents
  • Draft routine correspondence and communications
  • Process verification requests and other case-related documentation
  • Review incoming correspondence, identify deadlines, and calendar important dates
  • Maintain organized electronic and physical client files
  • Archive records in accordance with firm procedures
  • Conduct background and legal research as assigned
  • Provide administrative and operational support to attorneys and paralegals
  • Assist with additional clerical and workflow responsibilities that contribute to the firm's overall success

What We're Looking For

The ideal candidate is someone who:

  • Has exceptional organizational skills and attention to detail
  • Communicates professionally, both verbally and in writing
  • Is analytical, resourceful, and proactive in solving problems
  • Can effectively prioritize multiple deadlines while maintaining accuracy
  • Exercises sound judgment and discretion with confidential information
  • Builds positive working relationships with colleagues, courts, clients, and third parties
  • Is dependable, adaptable, and self-motivated
  • Works well independently while supporting a collaborative, distributed team

Because our attorneys practice remotely in states throughout the US, the ideal candidate is resourceful, communicates proactively, and is comfortable working independently while supporting professionals in multiple locations.

Strong preference will be given to applicants with at least one (1) year of legal support or closely related administrative support experience. Candidates with experience in legal, healthcare, insurance, financial services, or other document-intensive professional environments are encouraged to apply.

Technology Aptitude

Success in this role requires someone who is comfortable using technology in a fast-paced, remote-support environment. You'll work daily with attorneys and team members located across the country, so you should be confident learning new systems, troubleshooting routine technology issues, and finding solutions independently.

Ideal candidates will have:

  • Strong proficiency with Microsoft 365 (Outlook, Word, Excel, Teams) and Adobe Acrobat
  • Experience with legal or case management software such as Clio (preferred)
  • Experience using Apple/macOS operating systems
  • The ability to quickly learn new software, platforms, and workflows
  • Strong technical aptitude and confidence troubleshooting common hardware, software, and connectivity issues before escalating them
  • Comfort collaborating with remote team members using video conferencing, messaging, and cloud-based applications
  • The ability to adapt to evolving technology and efficiently navigate multiple systems throughout the workday
