We are seeking someone dedicated to helping others in the Legal Assistant (Client Success Coordinator) role. Our ideal Legal Assistant (Client Success Coordinator) will be responsible for managing a wide range of responsibilities that help to support our clients. To be successful in the role, you must be able to explain financial documents (such as IRA statements, bank account documents, life insurance policies, etc.) and the desired outcomes to the clients in an easy-to-understand vocabulary. You'll be educating our clients on important topics. You will be working on drafting documents, gathering information about the client’s financial details, and holding meetings with clients to ensure that the correct information is in the client’s file. As our Legal Assistant, you will be in meetings with our clients, talking about the important documents that you are collecting and the need to provide certain specific information. In addition, our Legal Assistant will also be responsible for clerical work regarding the client's documents. This position is an in-person role working in our St. Clairsville office. 


This position is very customer service-oriented and requires attention to detail and an understanding of how to communicate with others regarding private, sensitive information. Success in this position requires that you display a combination of efficiency, proactivity, and enthusiasm. In this role, you will be front-facing and interacting with our clients daily.

Responsibilities

  • Communicate with clients and other parties to provide timely updates and to gather necessary information regarding a client’s assets.
  • Communicate with clients and other parties to answer non-legal questions about the status of the case.
  • Monitor case processes, deadlines, and important timeframes and milestones.
  • Educate clients about the needs of certain items and how they work together with their case.
  • Assist attorneys in preparing and carrying out funding plans.
  • Manage, prepare, and carry out funding plans, including contacting financial institutions to ensure correct record of client data.
  • Prioritize conflicting needs and handle matters expeditiously and proactively.      
  • Understands client files to review them before closing to ensure that all tasks have been completed and that there is nothing else needed for the file.
  • Follow through on projects for successful and timely completion.
  • Greets visitors to the office, making sure that they feel welcomed.
  • Grow in the position through continued learning and revitalization of skill sets in related duties.

Qualifications

  • Must live near or be able to commute daily to our St. Clairsville office.   
  • An associate degree or some college is preferred; a high school diploma or equivalent is necessary.
  • Must be able to obtain an Ohio notary license within 30 days of employment. 
  • Strong customer service experience.
  • Ability to read and understand financial documents.
  • Ability to communicate professionally with all different levels of individuals, providing or receiving instructions.
  • Ability to analyze information and understand how to report the information to others.
  • High levels of emotional intelligence and interpersonal skills.
  • Effective worker – possessing the ability to complete detail-oriented work efficiently.
  • Understanding of basic computer skills, including MS Office programs, and can quickly learn new programs.
