Job description

The Legal Assistant provides administrative and secretarial support for multiple attorneys, and performs complex legal secretarial, administrative, word processing and clerical functions. This position requires strong computer skills and is responsible for complex document creation, revision, and version management, including but not limited to the use of table of contents, field codes, styles, headings, and other advanced formatting. This position requires full functionality in the advanced use of Excel and PowerPoint applications. As applicable, performs electronic searches, assists in administration of e-Discovery, maintains weekly litigation reports, and processes subpoenas and requests for medical records. This position must maintain a high standard of professionalism and be accustomed to dealing with maintaining and protecting confidential information as well as the ability to perform in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient. The position types correspondence, agreements, and documents from rough draft, verbal instructions, and dictation, proofs and edits documents for accuracy, answers the telephone, schedules meetings, maintains filing systems, and indexes and communicates in person, by telephone, fax, mail, or email with internal and external contacts in a professional manner.

Responsibilities:

  • Provides administrative and secretarial support for multiple attorneys.
  • Performs complex legal secretarial, administrative, word processing, and clerical functions.
  • Types correspondence, agreements and documents from rough draft, verbal instructions, and dictation.
  • Proofs and edits documents for accuracy.
  • Answers the telephone in a timely and professional manner.
  • Schedules meetings effectively and efficiently.
  • Maintains filing systems and indexes in an organized manner.
  • Communicates in person, by telephone, fax, mail or email with internal/external contacts.
  • Completes special projects and other duties as requested to support needs of organization.
  • Networks with co-workers to share best practices.
  • Understands different departments and their role in the corporate office.
  • Develops strategies and aligns work to achieve goals.
  • Demonstrates general computer skills, knowledge of Microsoft Office Software.
  • Troubleshoots minor technical issues and seeks appropriate assistance when necessary.
  • This position must sit at the Home Office in Birmingham, AL.

Minimum Qualifications:

  • Minimum 3 years of legal secretarial experience.

  • Proficiency in Word, Excel and Outlook.
