Job Summary: The Secretary provides essential administrative and operational support to the school and ensures the smooth day-to-day functioning of the school. Serving as the primary point of contact for scholars, families, staff, and visitors, this role sets the tone for a welcoming and professional school environment. The Secretary manages communication, maintains records, coordinates schedules, and supports key school operations, all while upholding confidentiality and a strong commitment to a scholar-first approach. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties amp; Responsibilities:
  • Maintain prompt and regular attendance
  • Open, read, and route all mail; maintain organized files of correspondence and records
  • Answer telephone calls; screen, refer, record, and follow up on messages
  • Serve as a back-up receptionist for the school, creating a positive and welcoming environment for scholars, families, staff, and visitors
  • Assist scholars, families, and visitors entering the office area
  • Monitor emergency communication systems
  • Prepare and type correspondence, reports, purchase orders, and other materials; proofread for accuracy in grammar, spelling, and punctuation
  • Maintain schedules of school meetings open to the public, including emergency contact information
  • Utilize the scholar information system to access and manage information as needed
  • Assist in updating and improving office procedures
  • Utilize technology and office equipment to support efficient operations
  • Build and maintain positive relationships with school staff, central office personnel, families, and the broader community
  • Assist with scholar registration as needed
  • Perform other duties as assigned by the appropriate administrator
Qualifications (Requirements)
  • High school diploma or GED required
  • Minimum of three (3) years of clerical or administrative experience
  • Strong written and verbal communication skills
  • Proficiency in typing, word processing, and general computer use
  • Ability to manage multiple tasks and prioritize effectively
  • Strong organizational skills and attention to detail
  • Ability to maintain confidentiality and exercise sound judgment
