Summary of Position

JobsOhio is looking for a qualified Legal Operations Manager (LOM) to join its Legal Team. The LOM provides support to the Legal Team by assisting in the successful operation of the legal functions of JobsOhio and its affiliates, JobsOhio Beverage System (JOBS) and JobsOhio Growth Capital LLC (JOGC). The LOM will take charge of contract and data management and reporting while working closely with the Legal Team to help identify opportunities for improvement and help implement necessary changes. The LOM will maintain JobsOhio’s contract lifecycle management systems, develop playbooks and processes, generate reports, and implement data-driven strategies to control costs and monitor internal and external resource performance.

Duties and Responsibilities

  • Maintain and administer the Legal Team’s operating models and workflows, including contract lifecycle management processes within the JobsOhio CRM.
  • Support requests for contracts from drafting to execution stage, track progress to completion, secure necessary signatures, and receipt of executed agreements
  • Assist with the preparation of agreements from approved templates and/or coordinate third-party-provided agreements for attorney review, as needed
  • Maintain and coordinate contract expiration dates and renewals with contract managers and the Legal team.
  • Coordinate development of reports and processes to monitor risk and/or gain strategic insights, including but not limited to reports related to non-program agreements within the JobsOhio CRM and clawback metrics.
  • Communicate and present information to stakeholders about contract-related matters
  • Assists in accomplishing organizational goals for the Legal function by accepting ownership of tasks and successfully meeting objectives.
  • Explores avenues and /or opportunities to add strategic value to the organization by proactively developing or redeveloping processes, such as when trends due to volume or repetitive activities prove a need to rework processes to improve efficiencies.
  • Works with the Legal Team to ensure internal compliance with company contract processes and procedures, and the maintenance of all program and non-program agreements within the JobsOhio CRM and related document repositories of the organization.
  • Works with the Legal Team’s efforts to develop and monitor strategic goals and provides data-driven insights, including productivity and efficiency metrics.
  • Cultivates strategic cross-functional relationships across all corporate functions to map and execute legal process alignment.
  • Tracks and analyzes internal and external legal spend to generate data-driven insights.
  • Assists with maintaining the Legal Team’s repository of legal documents and templates.
  • Develops and delivers legal training programs and materials, such as Contracts 101 training, to staff.
  • Maintains Legal Team Box folders and supports the Legal Team’s knowledge management efforts.
  • Engages with the Managing Director, Enterprise Risk, as needed on
    • Document management and records retention compliance
    • Enterprise risk mitigation strategies and initiatives

Experience Requirements

  • At least 3-5 years of experience in functional operations, with legal department operations preferred.
  • Strong ability for independent and strategic thinking
  • Strong communication and presentation skills with the ability to train and/or educate internal staff and/or customers to understand JobsOhio’s processes, guidelines, and requirements as needed
  • Experience collaborating and building relationships within a team, across departments, and with external stakeholders.
  • Friendly, courteous, professional, outgoing, business-minded yet customer-service oriented
  • Demonstrated success leading cross-functional projects, facilitating communication between teams and driving departmental change
  • Experience implementing technology and supporting adoption within and across departments; experience with legal technology and artificial intelligence (AI) implementations preferred.
  • Experience with workflow automation tools, matter management, and contract lifecycle management (CLM) systems.
  • Experience developing functional-level strategy and supporting tactical execution of strategic plans.
  • Strong project management skills and sound technical expertise
  • Experience with legal analytics and legal terminology
  • Strong business acumen and ability to formulate a compelling point of view
  • Ability to work with confidential information with discretion.
  • Knowledge of Salesforce or other cloud-based CRMs preferred
  • Comfortable making suggestions to improve and create processes that add value to the organization, current processes, and clients.
  • Ability to work with multiple data sets to make informed recommendations and translate insights into actionable solutions
  • Excellent analytical, problem-solving, and communication skills
  • Strong attention to detail combined with the ability to see the big picture, connect information across functions, identify patterns, and opportunities for improvement.
