Job description

Legal Operations Coordinator:

The Legal Operations Coordinator supports the efficient and effective operation of the Legal Department by managing administrative, operational, and technologyenabled processes.  This role works closely with the Sr. Legal Operations Manager to facilitate the full contract lifecycle, administer legal systems, track metrics, and support compliance activities.  The Legal Operations Coordinator plays a key role in improving efficiency and organizing the Legal Department.

Responsibilities:

Contract Management

  • Serves as the primary point of contact for all contract-related inquiries.
  • Supports the contract lifecycle by administering the contract management system (HighQ), tracking approvals, and facilitating contract signature.
  • Manage contract change notices, renewals, and terminations.
  • Create and maintain contract management workflows and processes.
  • Cleanup metadata surrounding/supporting contracts in HighQ.
  • Develops reporting dashboards and statistics for contract management.
  • Identifies ways to optimize use of HighQ to drive process efficiencies.
  • Promotes the use of HighQ as the center for contract management, including ensuring departments upload required contracts and leases.

Legal Operations

  • Oversees daily legal operations by coordinating meetings, tracking outside counsel spend, and handling monthly expense reconciliation.
  • Manages content for the Legal Department’s Intranet sites.
  • Works with Sr. Legal Operation Manager to implement, maintain, and improve legal technology solutions that support workflow automation, knowledge management and reporting.
  • Assists in the development and monitoring of departmental key performance indicators (KPIs).

Legal Department & Compliance Support

  • Organizes and maintains the Legal Department’s records, including files, data, and corporate books.
  • Assists the Chief Legal Officer with issuing notifications, monitoring external inquiries, and coordinating requests involving IT security, finance, and clinical leadership.
  • Supports Compliance Officers by maintaining and updating policies and procedures, coordinating compliance audits, and tracking workforce training metrics.
  • Implements a contract playbook/clause library (e.g., site agreements, waivers, releases, facility use agreements, photo releases).

Collaboration

  • Work with departments across the organization to ensure contracts meet standards, are accurate, and undergo appropriate review.
  • Point person to create technology solutions (Microsoft Teams) for collaboration with other departments or specific projects.

Required Education and Experience:

  • Bachelors degree or Associate’s degree with commensurate experience.
  • Minimum 2 years of relevant contract administration or legal support experience.
  • Strong proficiency with Microsoft Office (Excel, Word, Outlook, Teams).
  • Willingness to learn new technologies including Microsoft Power Platform and Microsoft Teams.
  • Ability to manage multiple projects with competing deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy.
