Rich Global | West Palm Beach, Florida | IN-OFFICE ROLE ONLY | Full-Time

About Rich Global

Rich Global is an entrepreneurial investment, development, and operating platform that builds, acquires, and supports companies across diverse industries. Its portfolio includes businesses involved in real estate development, commercial construction, building products and distribution, exterior services, and other specialized operations.

As the parent organization, Rich Global provides its operating companies with strategic leadership, capital, infrastructure, and shared resources, including accounting, human resources, legal, technology, and operational support. This structure allows each company to maintain its specialized industry focus while benefiting from the capabilities of a broader organization.

Position Overview

Rich Global is seeking an exceptionally organized, technology-forward Legal Operations & AI Manager to strengthen our legal support capabilities, modernize companywide systems, and improve how work is organized and executed across our family of companies.

This hybrid role combines legal operations, artificial intelligence, workflow automation, and process improvement. The ideal candidate brings legal operations or corporate paralegal experience, strong systems thinking, advanced technological aptitude, AI proficiency, and a passion for using technology to simplify complex work.

The successful candidate will identify opportunities, implement practical solutions, streamline workflows, and drive the adoption of systems and capabilities needed to build a modern, scalable legal function.

This individual will join Rich Global at the beginning of a major AI and systems transformation and will have a meaningful opportunity to help design and implement how AI is responsibly deployed across the organization and its operating companies.

Hands-on experience designing or implementing automated workflows using platforms such as Make, Zapier, n8n, Microsoft Power Automate, or API-enabled AI tools is strongly preferred but not required. Technological aptitude, systems thinking, practical AI proficiency, and the ability to learn, configure, and implement new technologies quickly.

Primary Responsibilities

Legal Operations — Approximately 50%

  • Organize, summarize, compare, research, and prepare legal and business matters for attorney review.
  • Draft initial versions of agreements, correspondence, memoranda, summaries, checklists, and related documents using approved templates and guidance.
  • Review and compare contracts to identify key provisions, inconsistencies, deadlines, obligations, and matters requiring legal attention.
  • Create concise matter summaries, timelines, document indexes, and decision-ready briefing materials.
  • Coordinate contracts, corporate records, litigation materials, real estate matters, compliance documents, and other legal files.
  • Manage legal requests, priorities, deadlines, approvals, follow-up items, and status reporting.
  • Develop and maintain standardized templates and document-management procedures.
  • Conduct legal and regulatory research and summarize findings for attorney evaluation.
  • Coordinate effectively with internal leadership, outside counsel, vendors, and other stakeholders.
  • Ensure legal judgment, negotiations, risk determinations, and final approvals remain with authorized attorneys and company leadership.

AI, Automation & Systems — Approximately 30%

  • Lead the responsible adoption of ChatGPT Enterprise and other approved AI tools across Rich Global and its operating companies.
  • Map existing workflows and identify opportunities for standardization, integration, automation, and AI-supported execution.
  • Design and implement practical workflows connecting platforms such as Microsoft Teams, SharePoint, document repositories, HubSpot, Monday.com, and meeting or call-transcription systems.
  • Develop AI-assisted processes for document review, summarization, comparison, research, drafting, meeting follow-up, and knowledge management.
  • Create prompt libraries, operating procedures, templates, training resources, and quality-control standards.
  • Establish appropriate human-review requirements and help ensure AI-generated work is accurate, confidential, secure, and properly approved.
  • Assist with system permissions, document access, information governance, and data-management protocols.
  • Configure and implement technology solutions when practical and coordinate with outside technical specialists when advanced development or integration support is required.
  • Train employees and encourage consistent adoption of approved tools and workflows.
  • Evaluate emerging technologies based on measurable business value, security, scalability, and ease of implementation.

Companywide Process Improvement — Approximately 20%

  • Evaluate workflows across Rich Global and its operating companies to identify bottlenecks, duplication, missed handoffs, and unclear ownership.
  • Convert informal or inconsistent processes into documented, repeatable systems.
  • Develop standard operating procedures, dashboards, trackers, accountability tools, and reporting structures.
  • Coordinate cross-functional projects while maintaining clear ownership, deadlines, dependencies, and follow-through.
  • Measure the effectiveness of implemented systems and recommend ongoing improvements.
  • Serve as an internal resource for organization, workflow design, technology adoption, and operational execution.

Qualifications & Candidate Profile

  • Bachelor’s degree, paralegal certificate, or comparable professional experience.
  • Significant experience in legal operations, corporate paralegal work, contract administration, litigation support, compliance, or a related field.
  • Strong understanding of legal documents, contract workflows, confidentiality, records management, and attorney-review processes.
  • Demonstrated proficiency with AI tools, document-management systems, and modern business technology.
  • Experience with Microsoft 365, Teams, SharePoint, Monday.com, HubSpot, or comparable platforms is highly desirable.
  • Hands-on experience with workflow automation or no-code and low-code platforms is strongly preferred.
  • Exceptional writing, research, document-review, and analytical abilities.
  • Advanced organizational skills and the ability to manage numerous priorities, deadlines, and stakeholders simultaneously.
  • Experience documenting processes, implementing systems, or leading operational improvements.
  • Ability to translate legal and business needs into practical workflows and communicate effectively with attorneys, executives, employees, and technical specialists.
  • Demonstrated ability to learn unfamiliar technologies and subject matter quickly.
  • Capable of producing accurate, decision-ready work with limited supervision.
  • Practical, resourceful, and implementation-focused, with a strong sense of ownership and follow-through.
  • Discreet and highly trustworthy when handling confidential legal and business information.
  • Comfortable operating in a fast-paced, entrepreneurial, multi-company environment.
  • Able to distinguish between administrative or operational preparation and matters requiring attorney judgment or approval.

  • Faster, better-organized legal workflows.
  • Improved contract, matter, deadline, and document visibility.
