Job description

Position Summary
The Legal Operations Coordinator supports the firm's learning, training, and legal-resource functions within the Legal Operations & Professional Development department. This role assists the Director of Legal Operations with administering the firm's Learning Management System (LMS), designs and edits high-quality training content, coordinates HBS University programming for attorneys and staff, and helps oversee the firm's legal resources. Working closely with the Director and the department's trainers, and making effective use of current technology and artificial-intelligence tools, the Coordinator ensures that firmwide professional-development initiatives are well-organized, consistently delivered, and effectively supported. The role also serves as project coordinator for the onboarding of new legal resources and the firm's implementation of AI platforms and other legal-facing technology, tracking pilots and projects from planning through rollout. The ideal candidate is highly organized, technically capable, service-oriented, and comfortable managing multiple concurrent programs in a fast-paced legal environment.
Key Responsibilities
  • LMS Administration Support. Assist the Director of Legal Operations with the administration and ongoing upkeep of the firm's Learning Management System (LMS), including course setup, user administration, content organization, reporting, and troubleshooting.
  • Training Content Design & Development. Design, edit, and produce training materials, including presentations, video content, job aids, and user documentation, in partnership with the department's trainers and subject-matter experts, applying artificial-intelligence tools to accelerate and enhance content development where appropriate.
  • HBS University Coordination. Organize and coordinate HBS University programming for staff and attorneys, including scheduling and confirming presenters, partnering with office staff to coordinate lunch-and-learns, maintaining the firmwide HBS University calendar, and managing calendar invitations and session logistics.
  • Legal Resources Support. Support the Director of Legal Operations in the management and oversight of the firm's legal resources, including research tools and subscriptions, vendor and contract coordination, license and renewal tracking, user access and login information, and invoice processing and tracking.
  • Coordination & Support. Serve as a responsive point of contact for scheduling, enrollment, and general questions related to firm learning and training programs.
  • Project Coordination - Legal Resources & Technology. Serve as project coordinator for the onboarding of new legal resources and for the firm's implementation of artificial-intelligence platforms, legal-research tools, and other legal-facing technology. Track pilot programs and active projects, maintain timelines and status, coordinate stakeholders, and keep the Director informed of progress, risks, and outstanding items.
  • Attorney and Matter Offboarding. Assist the Director and Client Services with the offboarding process of attorneys and matters.
  • Perform other duties as assigned and assist and/or coordinate other projects or tasks across the HBS operations department.

Qualifications
  • Associate's or Bachelor's degree in a related field, or equivalent professional experience.
  • Two or more years of experience in a coordination, administrative, training-support, or program-management role; experience in a legal or professional-services environment or experience as a paralegal/legal assistant is preferred.
  • Strong technical aptitude, with the ability to learn and help administer an LMS and other firm applications.
  • Working knowledge of artificial-intelligence tools and their practical application, with the ability to use AI to support and enhance training design, content creation, and day-to-day workflow.
  • Comfort designing and editing training content, with familiarity in presentation, video, or content-authoring tools preferred. Ability and desire to learn required.
  • Proficiency with the Microsoft Office suite (PowerPoint, Word, Outlook, Excel), with strong presentation-building and scheduling skills.
  • Exceptional organizational skills, with the ability to manage multiple programs, calendars, and deadlines simultaneously and with attention to detail.
  • Excellent written and verbal communication skills, with a professional, service-oriented approach to working with attorneys and staff at all levels.
  • Self-directed and dependable, able to take initiative and follow through with minimal oversight.
