Legal Assistant – Palm Beach Gardens, FL

We are seeking to hire a full-time Legal Assistant who is highly organized, has a stable employment history and administrative experience to join our growing business in our consumer class action department at our law firm.

Responsibilities:

  • Initiate and manage the opening of legal files
  • Complete, scan, and organize various forms and authorizations
  • Facilitate the procurement of reports, tapes, videos, and medical records
  • Report claims to insurance companies and request insurance policies
  • Draft and send letters on behalf of the legal team
  • Maintain organized client files
  • Request and follow up on insurance information and records
  • Gather and manage records and bills
  • Process and post invoices
  • Provide coverage information to medical providers
  • Contact clients to obtain physical status updates
  • Prepare materials for paralegals to draft demands
  • Copy and scan documents for inclusion in demand packages
  • Manage outgoing mail and organize incoming mail for paralegals
  • Scan mail into the appropriate files in the case management system (ATO)
  • File documents for pre-litigation paralegals
  • Attend occasional meetings with clients
  • Provide translation support for clients during meetings with paralegals/attorneys (Spanish proficiency preferred)
  • Handle phone communications, including speaking with clients, medical providers, and insurance adjusters when paralegals are unavailable
  • Assist paralegals with various tasks as required
