Work Environment: Hybrid (30 days onsite then 2 days WFH per month)

JOB DESCRIPTION

The Legal Administrative Assistant provides high-quality legal and administrative support to attorneys and legal team members in a collaborative environment. This role requires a strong understanding of firm and practice-specific procedures, along with the ability to manage a variety of tasks with accuracy, organization, and efficiency.


In addition to legal support, the role contributes to overall office operations by coordinating courier services, assisting with meeting logistics and office events, maintaining organized files, supporting client intake and billing processes, and serving as a professional point of contact for visitors, clients, and staff. The Legal Administrative Assistant consistently demonstrates professionalism, sound judgment, and strict confidentiality in handling client and firm matters.


Essential Duties and Responsibilities:ย 

  • Prepare, revise, proofread, and format legal documents, correspondence, and other materials with accuracy and attention to detail.
  • Provide administrative support to attorneys, including calendar management, meeting coordination, and travel arrangements.
  • Accurately enter and manage attorney time in the firmโ€™s timekeeping system.
  • Maintain organized paper and electronic files in accordance with firm policies and document management procedures.
  • Assist with client intake, conflict checks, billing coordination, and expense/reimbursement processing.
  • Serve as a professional point of contact for clients, attorneys, and staff, delivering a high level of customer service.
  • Support general office operations, including distributing mail, coordinating courier services, and monitoring shared office resources.
  • Coordinate logistics for internal and external meetings, including catering and beverage service.
  • Assist with planning and setup of office functions and events as needed.
  • Collaborate with team members to ensure timely completion of administrative and clerical tasks.
  • Serve as the primary point of contact for office visitors, providing a professional and welcoming experience.
  • Serves as a liaison between the office, other firm offices, and administrative departmentsโ€”including IT, marketing, records, accounting, HR, facilities, and similar support functionsโ€”to facilitate effective coordination and workflow.
  • Participate in ongoing training and professional development to enhance job knowledge and skills.

Required Knowledge, Skills and Abilities:

  • High School diploma required.
  • Administrative assistant experience in a law firm or other legal department.
  • Excellent organizational, time management and follow up skills.
  • Strong verbal and written communication skills.
  • Exceptional attention to detail.
  • Ability to handle multiple, competing deadlines and priorities in an effective manner.
  • Excellent interpersonal skills with a strong focus on client service.
  • Ability to work independently and as part of a team.
