Description
We are a busy personal injury law firm in Aventura, FL, looking for a Bilingual Legal Intake Specialist who knows how to turn a phone call into a signed client. This is not a receptionist role - it is the front door of our firm. Every call you take could be the next case that changes someone's life, and your job is to make sure qualified callers feel heard, trust us, and sign up on the spot.
The right person is a compassionate closer: warm and empathetic with injured callers, but disciplined about following our intake process, qualifying cases, overcoming hesitation, and getting retainers signed the same day. If you have done personal injury intake before and you love the rush of a signed-up client, we want to meet you.
Responsibilities
What You'll Do
• Answer inbound calls and respond to web leads quickly - speed matters
• Conduct full intake interviews in English and Spanish, with empathy and professionalism
• Qualify cases against our firm's criteria (accident type, injuries, treatment, liability, insurance, statute of limitations)
• Walk qualified prospects through the retainer and e-sign the agreement on the same call whenever possible
• Follow up persistently with warm leads who didn't sign on the first contact - calls, texts, and emails until they sign or decline
• Accurately log every lead, call note, and case detail in our CRM / case management system
• Coordinate with attorneys and case managers to smoothly hand off newly signed clients
• Hit weekly and monthly sign-up goals
Qualifications
Prior legal intake experience is required - personal injury intake strongly preferred
Fluent in Spanish and English (verbal and written) - required
• Proven track record of converting leads into signed clients
• Comfortable on the phone for most of your shift; strong listener and clear communicator
• Organized, detail-oriented, and able to juggle multiple leads at once without dropping the ball
• Familiarity with intake CRMs and e-signature tools (Litify, CASEpeer, Filevine, Lead Docket, DocuSign, or similar) is a big plus
• Empathetic, calm, and professional - many of our callers are in pain, scared, or overwhelmed
• Self-motivated and goal-driven; you actually like having a sign-up target
