Director of Legal Operations
A growing boutique law firm is seeking an experienced Director of Legal Operations to lead and optimize the firm's legal operations, case management systems, workflows, and staffing coordination. This leadership role partners closely with executive leadership to ensure legal matters progress efficiently, statutory deadlines are met, and scalable operational processes support the firm's continued growth.
Key Responsibilities
  • Own and continuously improve the firm's legal case management systems and workflows, including Clio.
  • Develop and enforce standardized case management processes from intake through case resolution.
  • Ensure statutory deadlines, including Mechanic's & Materialman's (M&M) lien filing deadlines, are accurately calendared and monitored across multiple states.
  • Monitor firm-wide caseloads, identify workflow bottlenecks, and implement operational improvements.
  • Partner with attorneys and legal staff to improve efficiency and standardize best practices.
  • Serve as the firm's subject matter expert for Clio and other legal operations technologies.
  • Evaluate, recommend, and implement legal technology solutions that improve scalability and operational performance.
  • Build operational dashboards and reporting that provide leadership visibility into caseloads, deadlines, staffing, and team capacity.
  • Train attorneys and staff on systems, workflows, and operational standards.
  • Coordinate staffing and workload planning with executive leadership to ensure proper resource allocation.
  • Support onboarding and training of new legal staff.
  • Ensure compliance with court rules, statutory deadlines, confidentiality requirements, and firm policies.
  • Identify operational risks and recommend process improvements.
  • Partner with Finance, Human Resources, Operations, and executive leadership to align legal operations with firm objectives.

Requirements
  • Bachelor's degree required; Paralegal Certification, JD, or other advanced degree preferred.
  • Proven experience in legal operations, practice management, or legal case management leadership within a law firm.
  • Strong experience with legal case management systems; Clio experience is highly preferred.
  • Demonstrated ability to build and improve operational processes.
  • Excellent organizational skills with exceptional attention to detail.
  • Strong analytical skills with experience creating operational reporting and dashboards.
  • Experience managing or coordinating staffing, workloads, and legal support resources.
  • Strong communication, leadership, and training skills.
  • Familiarity with construction law, Mechanic's & Materialman's (M&M) lien law, or multi-state legal practice is a strong plus.
  • Proficiency with Microsoft Office Suite.
  • Ability to excel in a fast-paced, deadline-driven environment while managing competing priorities.

Schedule
  • Monday through Friday, 8:00 a.m. - 5:00 p.m.
  • Hybrid schedule available after the introductory period (2 work-from-home days per week).
