Key Responsibilities
This is a full-time, on-site only position for an Administrative Assistant, reporting to our office located at: 4119 Montrose Blvd., Ste 550, Houston, TX 77006.
The Administrative Assistant will be responsible for:
- Managing incoming client calls, emails, and inquiries in a prompt, professional, and courteous manner;
- Scheduling consultations, meetings, and deadlines, and helping to maintain and consolidate attorney calendars;
- Prepare, organize, and maintain client files (digital and physical);
- Assist with intake of new clients and collection of required documentation;
- Draft and format correspondence, forms, and basic documents as directed;
- Track deadlines and follow up on outstanding client items;
- Process mail, filings, and deliveries (including government correspondence); and
- Perform general office administrative tasks to support daily operations as needed.
The role requires excellent organizational, communication, and problem-solving capabilities, as well as the ability to handle a variety of administrative duties in a fast-paced legal environment.
Qualifications
- Bilingual in Spanish and English required.
- Proficiency with Microsoft Office suite applications required.
- Proficiency with Adobe suite of applications strongly preferred.
- Prior professional service experience including client liaising, filing, data entry, and managing documentation, preferred.
- Strong communication, problem-solving, and adaptability skills to manage schedules, plan meetings, and oversee office operations.
- Professional phone and email etiquette required to interact effectively with clients, team members, and external stakeholders.
- Proactively identify opportunities to assist Partners and colleagues and contribute to the team's overall success.
