JOB OVERVIEW
The Leave of Absence Coordinator is responsible for administering and supporting the Company’s leave of absence programs and related processes. This role ensures compliance with Company policies, the Americans with Disabilities Act (ADA), and all applicable federal, state, and municipal leave laws and regulations. The Leave of Absence Coordinator serves as a key resource for employees and managers by providing guidance on leave processes, documentation requirements, and policy interpretation, while ensuring timely and accurate administration of leave-related activities.

This role is temporary for a minimum of 3 months. 

KEY RESPONSIBILITIES

  • Coordinate and track all Company leave of absence programs, including FMLA, state and municipal leave programs, company-provided leaves, military leave, and other applicable leave types.
  • Manage the Leave of Absence mailbox, responding to administrative inquiries and routing requests to the appropriate specialists as needed.
  • Serve as a primary point of contact for employee and manager leave-related inquiries, providing education and guidance on leave processes, policies, procedures, and documentation requirements.
  • Initiate and distribute required notices, forms, and correspondence, and follow up with employees regarding outstanding documentation or incomplete leave paperwork.
  • Review, assess, and assign Jira tickets to the appropriate specialist while completing requests related to leave documentation and general inquiries.
  • Create, maintain, and audit accurate and complete leave files and employee absence documentation in accordance with Company policies and compliance requirements.
  • Recommend updates and revisions to internal procedures, policies, forms, and communications to support ongoing compliance and process improvement.
  • Monitor leave exhaustion timelines and coordinate communications regarding benefit impacts, status changes, and leave transitions.
  • Identify opportunities to improve operational efficiency, enhance the employee experience, and streamline leave administration processes.
  • Maintain strict confidentiality and handle sensitive employee information with professionalism and discretion.
  • Adhere to and participate in the Company’s HIPAA Privacy Program, Business Ethics, and Compliance programs.
  • Review and comply with all Company policies, procedures, and Employee Handbook guidelines.
  • Support special projects and perform additional duties as assigned.
    QUALIFICATIONS
  • 1–2 years of Human Resources, Benefits, Leave Administration, or related experience.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Ability to analyze information, interpret policies and regulations, and identify process improvements.
  • Strong attention to detail and commitment to accuracy and confidentiality.
  • Ability to work both independently and collaboratively within a team environment.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office applications, including advanced Excel skills.
  • Working knowledge of employee benefit plans, leave administration processes, and HR policies and procedures.

Knowledge of federal and state employment laws related to ERISA, HIPAA, FMLA, ADAAA, and the ACA.
Preferred

  • Experience working with Workday or other HRIS platforms.
  • Prior experience supporting multi-state leave administration.
