Heather Gardens Association is seeking a dependable Office Assistant & Communications professional to support the daily operations of our Administration Department. This position is ideal for someone who enjoys clerical and administrative work, thrives in a collaborative environment, and takes ownership of producing accurate, professional documents and communications.


No two days are exactly alike. One day you may be preparing Board meeting materials, assisting residents, updating records, and coordinating communications; the next you may be organizing meeting packets, processing lease information, ordering office supplies, or supporting department projects. If you enjoy staying organized, working with people, and keeping an office running efficiently, we'd love to hear from you.


Essential Responsibilities

As our Office Assistant, you will:

  • Provide clerical and administrative support to the Administration Department.
  • Prepare correspondence, reports, meeting materials, forms, and other business documents using established templates.
  • Review work for accuracy, grammar, formatting, and completeness prior to distribution.
  • Coordinate support for Board and committee meetings, including hybrid meeting technology.
  • Prepare and distribute resident and departmental communications.
  • Maintain resident records and lease documentation.
  • Provide exceptional customer service to residents, employees, vendors, and visitors.
  • Assist with website updates and resident communication platforms.
  • Maintain office and breakroom supplies.
  • Provide backup support for Front Desk and Resident Services operations.

We're Looking for Someone Who:

  • Has previous administrative, office assistant, receptionist, or customer service experience.
  • Is highly organized and exceptionally detail-oriented.
  • Communicates professionally, both verbally and in writing.
  • Enjoys proofreading and producing polished, accurate work.
  • Is proficient in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Learns new software quickly.
  • Maintains confidentiality and exercises sound judgment.
  • Works well independently while also being a collaborative team member.
  • Takes pride in providing outstanding customer service.
