Job description

The YMCA of Central Texas is seeking a full-time Administrative Coordinator for our LCC (Licensed Childcare Center) Team in Round Rock, TX.

Under the direction of the Senior Vice President of Youth Development, the LCC Administrative Coordinator is responsible for supporting the mission, purpose, and goals of the YMCA while performing the duties listed below:

Duties include, but are not limited to:

  • Monitor accounts receivable and proactively managing delinquent accounts
  • Contact families regarding outstanding balances while maintaining a professional and customer-focused approach
  • Develop and administering payment arrangements in accordance with YMCA policies
  • Process account adjustments, returned payments, and reconcile reports for Accounting by monthly closing deadlines
  • Maintain accurate account documentation and collection records
  • Work with program staff to resolve account discrepancies and support family retention whenever possible
  • Assist at the LCC front desk by working scheduled shifts and following procedures set by LCC Business Director
  • Assist with enrollment, billing, financial assistance, and third-party funding documentation
  • Maintain accurate participant records within YMCA systems
  • Provide exceptional customer service to families and community partners and serve as an administrative resource for LCC programs
  • Provide administrative support to the Senior Vice President of Youth Development by coordinating calendars, meetings, and schedules, making travel arrangements, and completing expense reports
  • Prepare meeting materials, agendas, reports, and presentations
  • Assist with project tracking and follow-up
  • Coordinate communication with school districts, vendors, and community partners, and maintain school officials' database

Skills/ Requirements:

  • Experience working in a professional office with at least two years of Executive Support preferred
  • Ability to address information with a high degree of sensitivity and confidentiality
  • Professional demeanor
  • High level of customer service
  • Ability to communicate effectively and be an articulate spokesperson for the Association and the YMCA movement as a whole
  • High level of proficiency with Microsoft Office
  • Commitment to the purpose of the YMCA of Central Texas
  • Enthusiasm, high energy and exceptional human relations and motivational skills
  • Ability to problem solve and calmly assess situations and escalate as necessary
  • Must pass reference checks, pre-employment drug screen, background check and sex offender registry check
