Job description

We are a Law Firm that supports families whose children have special needs and are seeking an appropriate education. Our team is passionate about the work we do and seeking a team member who cares.
We are looking for an Executive Assistant who has a meticulous attention to detail, combined with the ability to understand issues at hand and work diligently to resolve them in order to support the Firm’s Owner. This role also requires skills to deliver our clients and potential clients the ultimate client service experience and to handle critical attorney support tasks. Doing this job well requires the right combination of empathy, strong written and verbal communication skills, attention to detail, and technical skills. You will play an integral role in creating memorable client experiences and helping the Owner of the Firm grow the business.

This important position involves critical administrative duties in support of the Firm’s Owner. The Firm is growing quickly, and the Owner needs front-line support to “keep the trains running on time.” The basic duties of the position are:

· Scheduling and ensuring Owner’s calendar is up-to-date and organized

· Approach tasks with a sense of urgency and strategic thinking to determine next steps

· Understanding the important role of being delegated to and being able to delegate to others to complete meaningful, time-sensitive work

· Assist in set up of marketing and team events

· Backup the Client Services Specialist with intake and client onboarding as needed

· Maintain referral database and send information to referral sources as directed

· Support the legal team and reception service by helping to direct client calls when clients are unsure who they need to speak to

· Communicate to building support about space concerns, conference room needs

· Set up for new hires

· Pulling reports and data entry as needed

· Mail support, preparing cards for clients

This is a full-time role, the right candidate will work the Firm's regular office hours due to needs of the role. The role is hybrid, but the ability to in office as needed is critical, usually this will be at least 2x a week but on occasion additional days may be needed (for example, preparing for interns or if the office moves).
Please note:

· Customer service and administrative experience in an office is required. Legal experience is a plus

· You will be working on many tasks and cases concurrently, over long periods of time. We expect you to keep track of key dates, keep the right people informed, and prioritize your time so that we never miss a deadline

· You must be comfortable with a computer and common office applications (Microsoft Suite, Outlook email & calendar, cloud storage, etc.). Experience with legal case management software is a plus

· You must have excellent spelling and grammar

· You must possess strong communication skills

· A penchant for accuracy and attention to detail are required to avoid mistakes that can cost our clients (and us) dearly

· You MUST be a positive person. If your middle name is “Drama,” you will not be successful here

· You should treat a client, case, or task at 4:30 pm on Friday with the same care and compassion as one on Monday morning at 9:00 a.m.
