Blue Mahoe, PLLC is a growing estate planning, asset protection, and elder law firm in downtown Fort Lauderdale, and we are looking for an exceptional Executive Assistant to be the right hand to our Founding & Managing Attorney. This is not a task-taking role. It is an ownership role for someone who wants to protect a leader’s time, run the systems that keep a firm moving, and grow into a central pillar of the practice for years to come.

Compensation:

$25 - $40 hourly DOE


Responsibilities:What You’ll Own

This role exists to protect the Managing Attorney’s time, ensure execution across the firm, and serve as the central hub for communication, scheduling, and follow-through. You will own:

Calendar & Time Protection

  • Own and manage the Managing Attorney’s calendar with precision and strategic awareness

  • Ensure every meeting aligns with firm priorities and is fully prepared in advance

  • Proactively spot scheduling conflicts, gaps, and inefficiencies, and resolve them before they become problems

  • Protect focus time and minimize unnecessary interruptions

Task & Project Execution

  • Track all key priorities, projects, and action items for the Managing Attorney

  • Drive deadlines by proactively following up with team members

  • Maintain clear visibility into what is in progress, at risk, or overdue

  • Serve as the firm’s accountability partner so nothing falls through the cracks

Communication Management

  • Manage and triage inbox communications on behalf of the Managing Attorney

  • Draft, proofread, and send emails, letters, and internal communications

  • Ensure timely responses and appropriate delegation of tasks

  • Act as a professional point of contact for clients, staff, and external partners

Operational & Administrative Systems

  • Maintain organized, up-to-date physical and digital files, documents, and records

  • Support and improve internal workflows, processes, and systems

  • Identify inefficiencies and proactively recommend solutions

  • Help track firm initiatives and ensure operational consistency

Personal Support

  • Manage personal scheduling, appointments, and travel arrangements

  • Handle personal administrative tasks with the same professionalism and discretion

  • Ensure seamless coordination between personal and professional commitments


Qualifications:
  • Impeccable time management skills, organizational skills, interpersonal skills, and communication skills
  • Comfortable meeting deadlines and handling confidential information
  • Must be comfortable using Microsoft Office
