Trestle Law is a boutique intellectual property firm. We protect the brands, content, and contracts our clients have built their businesses on. We're hiring a Client Intake & Sales Coordinator. This is the first person a prospective client talks to. You'll run intake calls, screen for fit, check for conflicts, book consultations, and follow up until they've signed or told us no.

This is a sales track, not a paralegal track. It leads toward owning our sales process, not toward paralegal or attorney work.

$25-32 an hour

• Screen incoming potential client phone calls to make sure the case falls within the scope of the firm, while helping the caller feel heard and understood
• Set appointments for potential clients that meet our criteria to keep our lawyers’ schedules organized and grow our caseload
• Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files
• Coordinate awareness initiatives and foster relationships with other attorneys alongside the marketing team in order to help grow our prospective client base
• Conduct various tasks around the office such as managing spreadsheets, writing emails, faxing and copying, and transcribing notes to make sure all processes run smoothly

• Answer inbound calls from prospective clients, run the intake conversation, and make people feel heard.

• Screen for fit against our practice areas — and decline the ones that aren't a fit, warmly and with a referral

• Book and confirm consultations in Calendly, and keep attorney calendars accurate

• Capture every prospective client in Law Ruler, correctly the first time: names, dates, contact information, matter type, referral source

• Follow up until you get an answer. Most of the value in this role is in the fifth touch, not the first

• Prepare fee agreements, open the pending matter in Clio, and shepherd the agreement through to signature

• Track your time in Clio in tenth-of-an-hour increments

• Work with our marketing team on referral relationships and where our leads come from

• Proficiency with Microsoft Office products, especially Microsoft Excel
• Previous experience with CRM and case management software desired
• Excellent and empathetic verbal and written communication skills required
• High school diploma or GED is a requirement; Bachelor’s degree is a plus
• Previous legal experience highly valued
• Previous customer service or sales experience preferred
• Strong computer and data entry skills

• 2+ years in client intake, client services, case management, or inside sales — legal experience strongly preferred

• Experience with a CRM and a case management system. We use Law Ruler and Clio, and you'll be in both every day

• Accurate under pressure. You catch the detail that doesn't add up, and you'd rather take an extra thirty seconds than guess

• Comfortable holding several threads at once, with multiple deadlines landing on the same day

• Self-directed. If something is stuck, you move it or flag it — you don't wait to be asked

• Steady on hard calls. People call us upset, and you can stay calm and keep the conversation on track

• High school diploma or GED required. College degree preferred.

• A real path. This role leads toward owning our sales process — consultations, fee agreements, referral relationships. Advancement here is based on performance, not time served

• $26–32/hour plus performance bonus, full-time, fully remote within California
