Accounts Payable Specialist
Position Summary
We are seeking a detail-oriented and analytical Accounts Payable Specialist to join our Finance team. This position is responsible for processing invoices, managing vendor accounts, resolving billing discrepancies, and ensuring timely and accurate payments. The ideal candidate will have strong organizational skills, experience with freight or import invoices, and the ability to work effectively across departments.
Essential Duties and Responsibilities
  • Process high-volume invoices related to import containers, ocean/air freight, drayage, and customs brokerage.
  • Review and validate invoices against purchase orders, bills of lading, and receiving documentation.
  • Ensure proper allocation of landed costs, including freight, duties, tariffs, and fees.
  • Investigate and resolve discrepancies involving pricing, quantities, freight charges, and billing errors.
  • Reconcile vendor statements, including international suppliers and freight carriers.
  • Manage vendor and freight forwarder portals for invoice retrieval, payment tracking, and communication.
  • Prepare and process weekly check runs, ACH payments, and wire transfers, including international wires.
  • Collaborate with Purchasing, Logistics, and Warehouse teams to resolve invoicing and receiving issues.
  • Assist with month-end close activities, including accruals for in-transit shipments and unbilled freight.
  • Maintain organized and audit-ready documentation for all Accounts Payable transactions.
  • Respond to vendor and carrier inquiries in a professional and timely manner.
  • Perform additional duties as assigned.
Qualifications
Required
  • Minimum of 2 years of Accounts Payable experience.
  • Experience processing freight invoices, import payables, or logistics billing preferred.
  • Strong understanding of three-way matching (purchase order, receipt, invoice).
  • Proficiency in Microsoft Excel and accounting software/ERP systems.
  • Strong attention to detail, analytical thinking, and problem-solving skills.
  • Excellent communication, organizational, and time management skills.
Preferred
  • Experience in manufacturing, distribution, or logistics environments.
  • Familiarity with international shipping terms (Incoterms), customs documentation, duties, and tariffs.
  • Experience handling container shipments and landed cost allocation.
  • Exposure to freight forwarders, brokers, and global suppliers.
Work Environment / Physical Requirements
  • Primarily office-based environment with regular computer use.
  • Frequent sitting, standing, and walking.
  • Occasional lifting of office materials up to 20 pounds.
  • May require occasional travel for training or business purposes.
