Medical Secretary

Medical Secretary L.I.F.E. Inc is looking for a dynamic, detailed oriented, friendly person to join our team. The medical secretary will work closely with the departments to ensure that our individuals receive the quality of care they need from their medical, dental, vision, and any other providers they see.

General Description/Summary: Under the direct supervision of the Healthcare Administrator the Medical Secretary performs varied tasks assisting the Adult Medical Day Care Services (AMDCS) and Community Living Program (CL). The medical secretary responsibilities also include general administrative duties needed for the adults with disabilities in our programs.

Available Schedule: Onsite / Monday - Thursday 9am - 5:30pm, Friday 8:30am - 5pm

Pay rate: $18.00 - $18.50 / hour

Location: Baltimore MD 21227

Medical Secretary Essential Duties and Responsibilities:

  • File and purge medical records for individual served.
  • Creates electronic records for individuals served and files using software iCare Manager.
  • Creates medical charts and forms as directed by supervisor.
  • Schedules individuals' medical appointments in conjunction with the transportation department.
  • Enter upcoming medical appointment on appointment sheet and iCare Manager.
  • Orders, receives, and distributes durable and non-durable medical supplies.
  • Follow up with all providers and request for medication and supplies.
  • Receive and route messages or documents, such as laboratory results, to appropriate staff.
  • Maintain medical records.
  • Transmit correspondence or medical records by mail, e-mail, or fax.
  • Provide update to supervisor in regard to requests, appointments, supplies and documentation needed.
  • Other duties as assigned.

Qualifications (Skills and Abilities):

  • Detailed oriented and able to complete task in a timely manner.
  • Good interpersonal skills
  • Ability to work and solve problems independently.
  • Flexibility and willingness to handle multiple responsibilities.
  • Ability to work with little direct supervision.
  • Ability to complete task with numerous interruptions.
  • Ability to handle confidential information.
  • High school diploma or equivalent required.
  • Adept in use of MS Word and Excel.
  • At least 1-year experience as a medical secretary preferred.
  • Must have excellent communication, time management and decision-making skills.
  • Demonstrated ability to build positive interpersonal relationship.

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job, not exhaustive. While performing the duties of this job, the employee is regularly required to communicate clearly and accurately.
  • The employee must be capable of using computers, scanners, copiers, telephones and other office equipment.
  • Ability to concentrate, process information, and manage multiple tasks are core competencies.
  • This is largely a sedentary role; however, reaching, bending, moving things, and stooping, such as to collate or file documents, are required regularly.
  • This position requires the ability to occasionally lift office products and medical supplies, up to 20 pounds.
