Administrative Manager – Laboratory Operations
Denver, CO

Lighthouse Lab Services is seeking a highly organized and proactive Administrative Lab Manager to oversee administrative and operational coordination for a growing molecular laboratory located in Denver, CO. This role supports daily business operations, laboratory administration, vendor management, finance coordination, HR support, and multi-site communication across international teams.

Key Responsibilities

Office Operations & Administration

  • Oversee daily administrative and office operations

  • Maintain organized documentation systems and operational processes

  • Provide front desk coverage and administrative support as needed

  • Ensure a professional, efficient, and well-maintained office environment

Procurement, Finance & Inventory Management

  • Manage procurement of office supplies, laboratory materials, equipment, furniture, and pantry items

  • Coordinate vendor selection, pricing negotiations, and ongoing relationships

  • Assist with purchase orders, invoice processing, and expense tracking

  • Maintain and reconcile inventory records for office and laboratory supplies

  • Support customs coordination and shipment tracking when required

Facilities & Multi-Site Coordination

  • Manage incoming and outgoing mail, packages, and deliveries

  • Coordinate facilities maintenance and service vendors

  • Support operational alignment across US, India, and UK offices

  • Assist with internal workflow coordination and communication

HR & People Operations Support

  • Partner with HR to support onboarding and offboarding processes

  • Prepare new hire workspaces, equipment, access credentials, parking, and welcome materials

  • Maintain personnel documentation and compliance tracking

  • Support scheduling and internal communications

Travel & Executive Support

  • Arrange travel logistics including flights, lodging, and transportation

  • Schedule meetings and manage calendars for leadership and staff

Preferred Profile

  • Bachelor’s degree in Business Administration or related field preferred

  • Minimum 2–3 years of experience in office management, executive assistant, or operations roles

  • Experience supporting laboratory or regulated environments strongly preferred

  • Strong communication and interpersonal skills

  • Excellent organizational and multitasking abilities

  • Experience with vendor management, procurement, inventory control, or facilities coordination

  • Proficiency in Microsoft Office Suite

  • Ability to work independently and coordinate across multiple time zones

Salary & Benefits
