Business Operations and Knowledge Management Analyst

The Boeing Company is seeking a Business Operations and Knowledge Management Analyst to join the Law Department within the Law and Global Compliance (L&GC) organization in Seal Beach, CA, Arlington, VA, Berkeley, MO, Chicago, IL, Mesa, AZ, North Charleston, SC, Plano, TX, Ridley Park, PA, Seattle, WA or Wichita, KS.

In this role, you will oversee and optimize various business operations processes, manage library subscriptions, coordinate training and continuing education, and lead projects to improve efficiency within the Law & Global Compliance (L&GC) organization. You will create and maintain project timelines, track progress, prepare executive-level presentations and talking points for senior leadership, and assist with legal administration and paralegal work design. This position requires strong project management, organizational, time management, communication, analytical, and problem-solving skills, combined with familiarity with legal processes, compliance requirements, and legal technology tools. Adaptability and a commitment to continuous learning are essential for success in this fast-paced environment.

Position Responsibilities:

Knowledge Management - Library Subscription Management (65%)

  • Coordinate with suppliers to manage current subscriptions and memberships, ensuring seamless service and timely renewals.
  • Serve as the primary contact for subscription-related inquiries, facilitating communication between internal stakeholders and external vendors.
  • Process and pay invoices using systems such as Ariba, STAR, NoPO, and P-Card
  • Manage the Ariba ISC process, including creating and tracking requisitions, purchase orders, receipts, and resolving discrepancies.
  • Create and monitor library expense reports and spreadsheets to ensure timely payments, track renewals, and manage invoice due dates.
  • Prepare regular expenses and subscription status reports for leadership to support budget planning.
  • Oversee subscription licenses by managing user access and ensuring compliance with license limits.
  • Conduct periodic audits of subscription usage to identify cost-saving opportunities and coordinate trial campaigns for new products.
  • Collaborate with suppliers to evaluate and secure optimal subscription offerings.
  • Create executive-level presentations to support requests for additional subscriptions or to highlight cost-saving opportunities.
  • Support cross-functional teams by providing access to library resources and assisting with subscription-related questions or training.

Business Operations (20%)

  • Coordinate and schedule the L&GC Professional Development Series, prepare slide decks, host sessions, and run post-presentation surveys to collect feedback.
  • Produce and distribute the L&GC Knowledge Management Newsletter.
  • Contribute to proposals that expand initiatives to improve efficiency and support professional development.
  • Support training & development and other special projects as needed.
  • Collaborate with the Compliance Analytics and Effectiveness (CAE) team to develop additional resources.

Project Management (10%)

  • Support project planning, execution, and monitoring from initiation to completion by helping define scope, objectives, deliverables, timelines, and success metrics; maintain schedules, track progress, and escalate delays or risks.
  • Assist in implementing and maintaining project tracking systems to identify bottlenecks and contribute data for analytics.
  • Prepare communications and materials for external stakeholders to secure support or resources.
  • Assist in preparing communications, talking points, and materials for internal stakeholders, including leadership, and coordinate execution of communication plans and presentations for project rollouts and updates.

Training and Continuing Education (5%)

  • Source and manage external training offerings, demos & trials, including scheduling, logistics, and vendor/participant communications; track and maintain training records for compliance and reporting.
  • Coordinate training and continuing legal education presentations with thirdparty vendors, outside counsel, and the internal CLE focal point.
  • Analyze training feedback and collaborate with stakeholders to improve future learning opportunities.

The position is hybrid. The expectation is a minimum of 3 days per week on site at one of the listed locations, location but may be more based on on-site needs, and management discretion. This is at the hiring team's discretion and could potentially change in the future.

Basic Qualifications (Required Skills/Experience):

  • Bachelor's degree or higher
  • 5+ years of experience in a law firm or in-house counsel environment
  • 5+ years of experience with Microsoft 365 suite, including Teams and Planner, for team collaboration and project management
  • 5+ years of experience with Microsoft SharePoint for content management, collaboration, and site administration
  • 5+ years of experience driving projects and processes to successful completion (planning, executing, multitasking, managing timelines, tracking progress, and delivering projects on time)

Preferred Qualifications (Desired Skills/Experience):

  • Experience with legal technology tools, including e-discovery platforms and legal research databases
  • Experience with Salesforce reporting and dashboards for data analysis
