Recruiting Support Specialist (Part-time)
Position Overview
KeenLogic is seeking a Recruiting Support Contractor to assist our internal recruiting team with candidate screening and documentation management. This is a part-time position averaging approximately 20 hours per week, with hours varying based on recruiting volume and business needs.
This role supports KeenLogic's internal recruiting team by conducting scheduled candidate screening calls and managing candidate follow-up through the documentation process. Responsibilities include reviewing candidate qualifications, capturing detailed screening notes, collecting required materials, editing and formatting documents, and ensuring completed candidate files are accurate, organized, and ready for submission.
The ideal candidate is professional, organized, responsive, and comfortable communicating directly with candidates while managing multiple follow-ups and documentation deadlines.
Qualifications
  • Strong verbal and written communication skills.
  • Comfortable conducting professional candidate screening calls.
  • Strong attention to detail and document review skills.
  • Ability to professionally edit and format Microsoft Word documents.
  • Strong organization and follow-through.
  • Ability to manage multiple candidates and documentation deadlines simultaneously.
  • Proficiency with Microsoft Outlook, Teams, Word, and SharePoint.
  • Ability to follow established screening guides, templates, and recruiting processes.
  • Recruiting coordination, HR, staffing, or administrative experience preferred.
  • ClickUp experience preferred.
Key Responsibilities
Conduct Scheduled Candidate Screening Calls
  • Conduct candidate screening calls that have already been scheduled and assigned by the KeenLogic recruiting team.
  • Review the job description, candidate resume, and provided screening questions prior to each call.
  • Discuss the opportunity with candidates and confirm their qualifications, relevant experience, availability, compensation expectations, certifications, clearance status, and other position-specific requirements.
  • Take detailed and organized notes during each screening to provide a clear summary of the candidate and flag any concerns or questions requiring Recruiting Manager review.
Candidate Documentation & Follow-Up
  • Send candidates the required documentation and instructions following their screening call.
  • Clearly communicate document requirements and applicable deadlines.
  • Follow up with candidates until all required documentation has been received.
  • Review returned documents for completeness and identify missing information.
  • Communicate with candidates to obtain corrections or additional information when necessary.
  • Escalate candidate questions or issues requiring Recruiting Manager involvement.
Document Editing & Formatting
  • Edit and format candidate resumes according to KeenLogic and client requirements.
  • Review resumes for required information, including employment dates, relevant experience, education, certifications, and other role-specific requirements.
  • Review Letters of Commitment/Availability, reference documents, forms, and other required candidate materials for completeness.
  • Correct formatting, spacing, headers, fonts, and general presentation while maintaining the accuracy of candidate-provided information.
  • Ensure candidate documentation is complete, consistent, and submission-ready.
File & Documentation Management
  • Save finalized documents using established KeenLogic naming conventions.
  • Upload and organize completed candidate documentation in the appropriate SharePoint folders.
  • Ensure the correct and most current versions of candidate documents are filed.
  • Update applicable recruiting trackers to reflect screening completion, outstanding documents, and documentation status.
  • Maintain organized candidate records so the recruiting team can quickly access submission-ready materials.
Success in This Role
A successful contractor will be able to take an assigned candidate from scheduled screening through completed documentation with limited day-to-day oversight.
For each assigned candidate, the expected workflow is:
Scheduled Screening → Conduct Call → Complete Screening Notes → Send Required Documents → Follow Up → Review/Edit Documents → Obtain Corrections → Finalize Documents → File in SharePoint → Update Recruiting Team
The goal of this position is to provide dependable execution and follow-through so the internal recruiting team can focus on candidate identification, pipeline development, client communication, and recruiting strategy.
