Job description

Role Overview:
We are seeking a proactive Change Management Specialist to support an enterprise portal and IT service management (ITSM) products and their continuous enhancements. This role focuses on helping employees and IT users understand changes, their importance, and necessary actions. The ideal candidate will possess hands-on experience in enterprise-level communications, strong writing and coordination skills, and a collaborative approach to delivering change activities across multiple product teams. The specialist will work closely with product teams to understand roadmaps, release content, change impacts, and user experience implications, supporting the development and execution of communication, engagement, readiness, and training activities while aligning with corporate standards.
Key Responsibilities:
  • Partner with enterprise portal and ITSM product teams and key stakeholders to understand upcoming releases, organizational readiness, change impacts, and required end-user or IT-user behavior changes.
  • Implement and maintain a standard, efficient workflow process, leveraging Jira to manage tasks, deliverables, dependencies, approvals, and timelines.
  • Conduct change impact assessments and stakeholder analyses to identify affected audiences, risks, communication needs, and support requirements.
  • Develop and execute communication and engagement plans aligned with ADKAR principles (Awareness, Desire, Knowledge, Ability, Reinforcement).
  • Create clear, targeted communication deliverables, including release announcements, FAQs, job aids, training guides, readiness materials, and leadership updates.
  • Coordinate change management activities across multiple initiatives, track progress, and follow through on actions and deadlines.
  • Collaborate with Corporate Marketing & Communications to align messaging, obtain approvals, and ensure enterprise communication quality and consistency.
  • Build productive working relationships with business stakeholders, leaders, champions, and subject matter experts.
  • Support the collection and analysis of adoption metrics, feedback, and user sentiment to evaluate readiness and communication effectiveness.
  • Prepare regular status updates, insights, and recommendations for product teams and leadership.
  • Leverage approved AI tools to draft, summarize, analyze feedback, tailor content, and improve work quality and efficiency, validating outputs for accuracy, confidentiality, tone, and compliance.
  • Create and maintain organized documentation, including communication plans, change impact assessments, stakeholder maps, training materials, and Jira records.

Qualifications:
  • Bachelor's degree in Communications, Business, Organizational Development, Information Technology, or a related field, or equivalent relevant experience.
  • Two to four years of hands-on experience in change management, communications, project coordination, or related work supporting enterprise technology initiatives.
  • Hands-on experience planning, writing, editing, and coordinating enterprise-level communications for diverse audiences and channels.
  • Working knowledge of organizational change management principles, including the ADKAR model.
  • Strong written and verbal communication skills, with the ability to translate complex information into clear, actionable messages.
  • Strong collaboration and stakeholder engagement skills, with the ability to build alignment and work effectively across teams.
  • Strong organizational skills and the ability to manage multiple tasks, deadlines, and deliverables with appropriate guidance.
  • Proficiency with Microsoft 365, including Word, PowerPoint, Excel, Teams, and SharePoint.
  • Experience using Jira or a similar work management tool to track tasks, deliverables, and workflow status.
  • Comfort using approved generative AI tools to improve productivity and content quality, with sound judgment in reviewing and refining outputs.
