What is invoice reconciliation?

Invoice reconciliation is the process of comparing invoices received from suppliers or vendors with purchase orders and delivery receipts to ensure that the billed amounts match the goods or services actually received. This process helps organizations verify the accuracy of their financial records, prevent overpayments, and identify discrepancies or errors in billing. It is an essential part of the accounts payable process and helps maintain strong financial controls. Regular invoice reconciliation can also improve relationships with vendors by ensuring timely and accurate payments.

What are some common challenges faced in invoice reconciliation, and how can they be addressed?

Invoice reconciliation professionals often encounter challenges such as discrepancies between invoices and purchase orders, missing documentation, and tight deadlines for month-end closing. These issues can be addressed by implementing automated reconciliation tools, maintaining clear communication with vendors and internal departments, and developing strong organizational habits to track outstanding items. Regular training on the organization's financial systems and procedures also helps reduce errors and streamline the reconciliation process.

What is the difference between Invoice Reconciliation vs Accounts Payable Specialist?

Accounts Payable Specialists handle the entire payment process, including invoice approval and issuing payments. Understanding these differences helps organizations assign the right tasks and professionals for efficient financial management.

What are the key skills and qualifications needed to thrive as an Invoice Reconciliation Specialist, and why are they important?

To thrive as an Invoice Reconciliation Specialist, you need strong analytical skills, attention to detail, and a background in accounting or finance, often supported by a relevant degree or equivalent experience. Familiarity with accounting software (such as SAP, QuickBooks, or Oracle), spreadsheet tools like Excel, and sometimes certification in bookkeeping or accounts payable processes is typically required. Excellent organizational abilities, problem-solving skills, and effective communication help professionals manage discrepancies and collaborate with vendors or internal teams. These skills ensure accurate financial records and efficient resolution of invoice issues, which are vital to maintaining smooth business operations and financial integrity.

Job description

Payroll amp; Benefits Specialist
Bonney Plumbing, Electrical, Heating and Air | Rancho Cordova, CA (On-site) | Full-time
$72,000 โ€“ $85,000 per year + Annual Bonus

You run payroll. You don't just assist with it.

If you're someone who takes ownership, knows California payroll inside and out, and wants to be the person the HR team counts on โ€” this is your role.

We're Bonney Plumbing, Electrical, Heating and Air, a home services company with four brands, approximately 300 employees, and a HR team that genuinely has each other's backs. We're looking for a Payroll amp; Benefits Specialist who is ready to own their work, grow with us, and make a real impact on the employees we serve every day.

** Please complete our Culture Index survey. All applicants must complete a survey to be considered for employment. You can copy and paste this link for survey: https://go.cultureindex.com/p/BPAsm5GOmJn

What You'll Own

  • End-to-end biweekly payroll processing across four entities in Paycor
  • Prevailing wage and certified payroll compliance
  • Full benefits administration โ€” enrollments, life events, open enrollment, and carrier coordination
  • Monthly benefit invoice reconciliation
  • Onboarding and offboarding documentation
  • First-level employee support on pay and benefits questions
  • Backup coverage for the Director of HR โ€” real responsibility, not just answering phones

What We're Looking For

You're the right fit if you have:

  • 3โ€“5 years of hands-on payroll processing experience, multi-entity a plus
  • Prevailing wage experience โ€” strongly preferred
  • Working knowledge of California payroll law, wage and hour rules, and final pay requirements
  • Experience with Paycor or a comparable HRIS platform
  • Strong Excel skills and comfort with data, reporting, and reconciliation
  • A high degree of discretion โ€” you handle sensitive information with professionalism

Bonus points for:

  • Benefits administration experience (open enrollment, carrier coordination, invoice reconciliation)
  • Exposure to CFRA, FEHA, and California-specific compliance
  • Experience in trades, field service, or a multi-location environment
  • FPC or CPP certification
  • Spanish fluency

Why Bonney

  • Real ownership from day one โ€” this is your payroll, not someone else's
  • A tight-knit HR team that supports each other and takes pride in serving employees well
  • Direct partnership with an HR leader who is hands-on and invested in your growth
  • Room to expand your impact across a growing, multi-entity operation
  • Annual bonus based on merit โ€” we reward people who show up and deliver

Benefits

  • Health, dental, and vision insurance
  • 401(k) with company match
  • Paid time off
  • Employee assistance program
  • Flexible spending account
  • Employee discount on Bonney services

Details

  • Full-time | On-site | Rancho Cordova, CA
  • Reports to Director of Human Resources
  • FLSA Status: Exempt
